Job description

Job Summary: The HR Support Analyst provides first-line operational and systems support for the Human Resources department, ensuring accurate records, smooth onboarding/offboarding, and timely employee assistance. Advisory from Generalist but reporting to the Director, this role maintains personnel files and trackers, processes routine HRIS updates per SOP, posts/schedules in the Applicant Tracking System, and coordinates orientation logistics. The analyst tracks evaluation progress, routes outstanding items to the Generalist, and manages intake/logging of payroll deduction and bonus forms (routing to Payroll). They handle employee help-desk requests (access, passwords, basic self-service), protect PHI/PII, and produce simple reports that help the team stay compliant with deadlines (licenses, training, evaluations). This role is detail-driven, customer-service oriented, and critical to day-to-day HR reliability in a healthcare environment.
  • Initiate onboarding/offboarding per SOP, gather/verify documents (I-9, licensure,
    certs); follow checklists for hires, status changes, terminations; track completion.
  • Prepare and route evaluation packets; track progress and send reminders; report
    outstanding to the Generalist weekly (or earlier if overdue).
  • Send onboarding/offboarding announcement emails to the appropriate channels (IT,
    Security, Managers, Employee Health, Payroll, etc.) per SOP.
  • Intake payroll deduction forms (e.g., voluntary deductions), confirm eligibility, and
    completeness, log them, and route to Payroll; hand off the status log to the Generalist for
    tracking/approval.
  • Intake bonus forms, confirm approvals and effective periods, log, and route to Payroll;
    hand off the log to the Generalist.
  • Maintain secure, organized personnel files (physical/digital) with standardized
    naming/indexing according to SOP.
  • Perform regular file audits (licenses/certs, evaluations, training, I-9 supporting docs)
    and correct deficiencies.
  • Assist staff with platform access (logins/passwords), basic self-service; escalate
    issues to the Generalist.
  • Enter routine HRIS updates per SOP (Standard Operating Procedure); maintain
    trackers for pending changes, deductions, bonuses, and due dates.
  • Post jobs, schedule appointments, assist with career fairs/recruiting methods;
    assemble orientation materials/rosters; support ATS data hygiene.
  • Take messages, check voicemail daily, route inquiries, and maintain the HR calendar
    (deadlines, orientations, evaluations, audits).
  • Prepare letters, scan/index docs, file correctly across platforms; ensure
    privacy/accuracy of records (PHI).
  • Provide logistical support (room/supplies, sign-ins, communications) for engagement
    Events planned/coordinated by the Generalist and Director.
  • Collect incoming mail and send outgoing mail timely.
  • Other duties as assigned.

Education/Qualification Requirements:
  • High school Diploma or GED preferred but not required.

  • Experience:
    Previous HR experience preferred but not required.

  • Language Skills:
    Ability to read and communicate effectively in English, both verbally and in writing required.
