Job description

WHAT YOU WILL EXPERIENCE IN THIS POSITION:
Fine & Dispute Management
  • Track & Monitor: Actively monitor major retail customer portals for compliance infractions, chargebacks, and deductions related to on-time delivery (OTD) and shipping performance.
  • Investigate: Audit and research root causes for each fine using our ERP system, shipping logs, and carrier data to determine if the penalty is valid or disputable.
  • Dispute Execution: Build comprehensive dispute cases with necessary documentation (e.g., bills of lading, proof of delivery, system timestamps) and submit them within strict retailer windows to claw back lost revenue.
  • Financial Reporting: Maintain a centralized tracker of all incoming fines, successful disputes, and net losses; provide monthly insight to leadership on chargeback trends.

Warehouse Collaboration & Process Improvement
  • Operational Direction: Partner directly with the Warehouse and Logistics teams to communicate specific routing guide changes, compliance difficulties, and retailer-specific packaging/shipping rules.
  • Root-Cause Resolution: Lead regular reviews with warehouse leadership to investigate systemic operational issues (e.g., picking delays, carrier missed pick-ups) leading to fines.
  • Process Improvement: Recommend and help implement workflow modifications in the warehouse or order management system to improve timely shipping metrics.

Retailer Relations & Compliance Maintenance
  • Stay up to date on evolving vendor compliance manuals and routing guides for all major retail accounts.
  • Serve as the internal subject matter authority on retail compliance requirements.

YOU HAVE:
  • 2+ years of experience in Retail Customer Care, Logistics, Supply Chain, or Deductions/Accounts Receivable. Experience dealing specifically with major retail vendor compliance/chargebacks is highly preferred.
  • Proficiency with ERP systems and advanced Excel skills for tracking and analyzing data trends.
  • Strong problem-solving and investigative skills; ability to connect the dots between data points from different systems to build a defense case.
  • Excellent written and verbal communication skills. Ability to confidently deliver feedback and process direction to warehouse teams and hold internal partners accountable.
  • Exceptional organizational skills to handle strict dispute deadlines across multiple retail accounts.
