Description
The document control specialist is responsible of managing, receiving, reviewing, organizing and maintaining the engineering records of the company, under the corporate protocols, regulatory requirements and procedures that govern the DC department. This position requires continuous communication between the different engineering branches, clients and company suppliers, providing assistance, error proofing, accurate documentation, strict version control, document transmittal based on the client specific instructions and company standards.
Requirements
  • Review and sort the different documents and drawings on the correct categories based on PO#, project and subproject number.
  • Collaborate with cross-functional teams including Engineering, Production, suppliers, regulatory entities and clients providing critical on time response and documentation processing.
  • Ensure that the received drawings and documents from the internal engineering team contain the proper identification data, based on records databases. Request the correction of all the issues detected to the engineer in charge of the project.
  • Create cover sheets, document renaming.
  • Create data books of entire projects.
  • Process, rename and archive the documents received from clients and suppliers based on the acceptance or rejection given in each one of them.
  • Maintain the engineering departments up to date on the status of the documentation analyzed by the clients.
  • Create documentation packets based on the client specifications and transmit them accordingly trough the specific requested method, ensuring that all the drawings and datasheets contain the correct information on their information blocks.
  • Create advanced reports of the status of the documents (rejected, accepted, or be corrected) to ensure that the engineering team have the most recent information.
  • Maintain organized, retrievable records in both electronic and physical formats per retention schedules.
  • Work with PM, Engineers, and Major Stakeholders to complete the Final MDR of the Projects.
  • Other relevant duties as assigned by the manager.

  • Experience dealing with cultural diversity of a global business environment.
  • Self-motivated, works well independently and in a team setting under time constraints.
  • Proficiency with Adobe Acrobat, Microsoft Excel, Word and outlook.
  • Experience with document/Project management software (Oracle Aconnex, Procore). (Desirable)

Required Experience & Education
  • High School Diploma or General Education Degree. (This is Required)
  • Bachelor's degree in business administration, Information management, Engineering or a related field. (Desirable) (equivalent work experience may be considered during the candidate evaluation)
  • 1 to 3+ years of experience in document control, or technical records management experience, preferably within a manufacturing, process, or heavy industrial plant environment.

Physical Requirements
  • Primarily office-based within a plant or industrial facility.
  • Must be able to lift up to 25 lbs. (document binders, equipment manuals)
