Danny Forster & Architecture — an award-winning architecture and media firm known for global design, development strategy, and storytelling — is seeking a highly organized, proactive, and resourceful Executive Assistant & Office Manager to support Principal Danny Forster.

This is a critical, high-trust role that blends executive support with ownership of day-to-day office operations. The ideal candidate thrives in a fast-paced, high-accountability environment, anticipates needs before they arise, and takes pride in creating both operational excellence and a well-run, welcoming office.

Key Responsibilities Executive Support
  • Manage complex, ever-shifting calendar across business, media, development, and personal commitments — ensuring priorities are clear, logistics are seamless, and time is protected.

  • Coordinate and confirm meetings (virtual and in-person), interfacing confidently with high-profile clients, partners, and internal teams.

  • Plan and manage domestic and international travel, including detailed itineraries and real-time troubleshooting.

  • Track and submit personal and professional expenses accurately and on schedule.

  • Serve as a gatekeeper and representative — drafting correspondence, managing inbound communication, and ensuring timely, polished responses.

  • Anticipate needs proactively with strong judgment, discretion, and follow-through.

Office & Operations Management
  • Own day-to-day office operations to ensure a highly functional, organized, and welcoming workspace.

  • Manage office inventory and procurement, including supplies, kitchen stocking, and overall workplace readiness.

  • Oversee materials library: maintain organization, order samples, and ensure resources are current and accessible to the team.

  • Coordinate with external IT partners to manage technology needs, onboarding, troubleshooting, and equipment ordering.

  • Partner with CFO or finance team to track, organize, and ensure timely payment of office-related expenses and vendor invoices.

  • Support and enhance team culture by coordinating team events, lunches, celebrations, and internal moments (birthdays, milestones, etc.).

Team & Project Coordination
  • Collaborate closely with internal teams to maintain alignment on priorities, deadlines, and shifting schedules.

  • Help streamline communication and workflows across the office to improve efficiency and clarity.

What We’re Looking For
  • 3+ years of Executive Assistant experience supporting senior executives (experience in a creative, design, or fast-paced environment preferred).

  • Strong organizational skills with exceptional attention to detail and follow-through.

  • Highly responsive, adaptable, and calm under pressure.

  • Excellent written and verbal communication skills — polished, concise, and professional.

  • Strong judgment and discretion; understands how to handle sensitive information.

  • Proactive mindset — able to anticipate needs and solve problems independently.
