Summary

We are seeking a highly organized and empathetic HR Shared Services Manager to define, lead, and optimize the end-to-end candidate experience with a keen focus on self service. This role is critical in ensuring a world-class, "white-glove" experience for all candidates and key stakeholders, reinforcing our company culture and employer brand throughout the recruitment life cycle. This role requires in-depth technical expertise in talent acquisition processes and the ability to lead a specialized team.

Responsibilities

Strategy & Process: Define, implement, and continuously optimize end-to-end candidate experience strategies and workflows, including managing and maximizing the applicant tracking system (ATS).

Team Leadership: Lead, mentor, and manage a team of candidate experience specialists or coordinators, fostering a high-performing and collaborative environment.

High-Touch Coordination: Oversee complex interview scheduling, including international and virtual logistics, ensuring seamless and efficient coordination for candidates and hiring managers.

Candidate Communication: Act as the primary point of contact, ensuring timely, transparent communication, engagement, and constructive feedback, irrespective of the hiring outcome.

Metrics & Feedback: Monitor and analyze candidate experience surveys to identify key trends, implement continuous improvements, and provide comprehensive performance reports to senior stakeholders.

Process Improvement & Best Practice: Proactively identify areas for improvement, provide recommendations for change, and develop/implement procedures and controls to mitigate risks. Stay current with industry trends to implement best practices.

Problem-Solving: Resolve complex problems by applying acquired technical experience and expertise, guided by established precedents.

Organizational Alignment: Ensure recruitment processes align with company values and enhance the employer brand. Understand how the sub-function integrates with the broader HR function and the organization's goals.

Competencies Needed for Role

Experience: Proven experience in recruiting coordination, talent acquisition, or human resources. Leadership experience is preferred.

Communication: Exceptional verbal and written communication skills with the ability to engage empathetically yet pragmatically with diverse candidates and stakeholders.

Technical Expertise: In-depth technical knowledge and experience in the assigned area of expertise, with a thorough understanding of underlying principles and concepts.

Organization: Strong organizational and scheduling capabilities to manage multiple, complex tasks simultaneously.

Tool Proficiency: Extensive experience with Applicant Tracking Systems and virtual meeting platforms.

Confidentiality: Demonstrated ability to maintain strict confidentiality regarding sensitive hiring and candidate information.

Collaboration: Engage closely with colleagues across the organization to deliver an integrated client experience.

Stakeholder Communication: Guide and persuade team members, communicate complex/sensitive information clearly, and act as a key contact point for external stakeholders.

Organizational Alignment: Demonstrate and model the organization's core values and mindset (e.g., Respect, Integrity, Service, Excellence, Stewardship; Empower, Challenge, Drive).

Advisory Role: Act as a subject matter advisor, leveraging deep technical expertise to guide others.

Education/Experience

Bachelor's degree in Human Resources, Business Administration, or a related field; an advanced degree or relevant professional HR certification (e.g., PHR, SPHR, SHRM-CP) is highly desirable.

7+ years of progressive experience in HR Shared Services, or a high-volume recruitment HR Support environment.

Demonstrated experience leading, mentoring, and developing teams of coordinators or specialists.

Proven track record of optimizing end-to-end candidate experience workflows and leveraging Applicant Tracking Systems (ATS) for process efficiency.

Experience identifying and implementing process improvements, utilizing data analytics to track metrics, and reporting on KPIs.

Strong background in high-touch, professional candidate communication and stakeholder management.

Knowledge of HR compliance, talent acquisition best practices, and the ability to operate in a matrixed organization.

Travel: 15%

Base salary and/or rate of pay ranges listed are exclusive of fringe benefits and potential bonuses. Individual compensation offers will be determined based on a variety of factors, including but not limited to geographic location, relevant candidate experience and skill, education, and/or qualifications.Base Salary Range: $120,000-$165,000
