Part Time - Administrative Assistant (Hybrid) โ€“ Mental Health Clinic

We are seeking a highly organized and compassionate Administrative Assistant to support the daily operations of a small mental health clinic. This hybrid role involves both in-person and virtual responsibilities, including patient coordination, administrative support, and assisting with clinical workflows. The ideal candidate is detail-oriented, professional, and comfortable working in a fast-paced healthcare environment.

Key Responsibilities:

  • Greet and check in patients both in-person and virtually
  • Answer and manage incoming phone calls, including triaging inquiries
  • Schedule, reschedule, and confirm patient appointments
  • Coordinate new patient intakes and onboarding processes
  • Manage referrals and follow-up with external providers
  • Process releases of information (ROI) and medical records requests
  • Perform insurance verification and assist with prior authorizations
  • Utilize Quest Diagnostics electronic lab systems for ordering, tracking, and managing lab results
  • Communicate lab orders and results between providers and patients as needed
  • Provide administrative support for PMHNP/clinical intern coordination, including onboarding and training
  • Maintain accurate patient records and documentation in the EMR system
  • Conduct appointment reminder calls/messages
  • Assist in overseeing and supporting daily clinic operations
  • Ensure compliance with HIPAA and confidentiality standards

Qualifications:

  • Previous administrative experience in a healthcare or mental health setting preferred
  • Experience with Quest Diagnostics or electronic lab systems strongly preferred
  • Strong organizational and multitasking skills
