The Office of Catholic Schools in the Archdiocese of Miami Pastoral Center, located in Miami Shores, Florida, is seeking to hire a full-time Administrative Assistant for St. Carlo Acutis Virtual Academy (CAVA). The Administrative Assistant ensures the smooth and efficient operation of the school and supports the daily functions of the office. Working under the supervision of the Principal and Vice Principal, this role assists students, parents, and faculty, while supporting the virtual learning environment.
The Administrative Assistant performs all duties and responsibilities in alignment with the mission, vision, and values of the Catholic Archdiocese of Miami.
Essential Functions and Responsibilities include:
  • Establishes, models, and maintains a strong Catholic identity and values in all aspects of the school's program.
  • Answers phones, takes messages, provides customer assistance, and directs inquiries to appropriate personnel.
  • Reviews enrollment form submissions and maintains accurate records.
  • Maintains a clean, orderly, and professional reception area.
  • Provides reports as requested by the Principal and Vice Principal.
  • Responds to student, parent, and faculty questions and concerns.
  • Assists with maintenance of the CAVA Student Information System (SIS), Learning Management System (LMS), and FACTS.
  • Assists with oversight of the CAVA website and social media accounts.
  • Works to resolve technology-related issues as needed.
  • Assists the Vice Principal on testing days, as needed.
  • Attends meetings and events as required by CAVA and the Office of Catholic Schools.
Qualifications:
  • Minimum: High school diploma required; minimum of 3 years' clerical experience in a customer-service environment. Experience in a Catholic school or church setting preferred.
  • Demonstrated ability to maintain strict confidentiality of sensitive information.
  • Excellent customer service skills, including the ability to remain professional in challenging situations.
  • Must be a practicing Catholic.
  • Strong oral and written English-language communication skills, including a clear speaking voice.
  • Spanish-language ability preferred.
  • Knowledge and aptitude in educational technology and computer systems.
  • Ability to manage multiple responsibilities and priorities effectively.
  • Ability to build and maintain positive relationships with students, parents, faculty, and staff.
  • Strong organizational and problem-solving skills.
  • Ability to work effectively in a virtual environment and serve a diverse population.
  • Demonstrates integrity, professionalism, and commitment to the mission of Catholic education within the Archdiocese of Miami.
  • Must have a professional demeanor, including adherence to the dress code.
