Job Summary:

We are offering an exciting opportunity for growth for a candidate who has demonstrated drive, dedication, professionalism, and a positive attitude to join the nationwide events team. The Communications Events Assistant position provides an opportunity to support a range of event team functions that will help ensure the best end-user experience when it comes to our events (internal and client-facing). The candidate will provide general day-to-day administrative support to the events team including but not limited to venue research, nametag creation, calendar maintenance, supply inventory, etc.

Duties and Responsibilities:

Key responsibilities:

  • Assist the events team with administrative support across a high volume of events, ranging from small meetings to large conferences, including shipping materials, printing name badges and signage, managing registration lists, and coordinating post-event surveys
  • Accompany members of the events team to internal and external events, providing on-site support including event setup and breakdown
  • Support virtual events in partnership with the Marketing & Business Development Production Administrator, including webinar overflow assistance as needed
  • Coordinate event and sponsorship requests, including follow-up and approvals, with the appropriate events team members
  • Maintain and manage event collateral inventory and the marketing supply closet
  • Track and update records for invoices, contracts, and post-event materials
  • Assist with firm holiday programs and the coordination of branded promotional items
  • Perform additional duties and special projects as assigned

Skills and Educational Requirements:

  • Bachelor's degree required
  • 2-3+ years of experience in event coordination or administrative support, preferably in a corporate or similarly fast-paced environment
  • Strong customer-service mindset with a responsive, proactive, and can-do attitude
  • Demonstrated diplomacy, tact and professionalism
  • Excellent written and verbal communication skills, including strong editing and proofreading abilities and keen attention to detail
  • Ability to multitask, prioritize competing deadlines, and manage multiple assignments in a fast-paced environment
  • Strong organizational and administrative skills with the ability to work accurately under pressure
  • Proficiency in Microsoft Word, Excel, and PowerPoint required; familiarity with Microsoft Teams and CRM systems preferred
  • Flexibility to work evenings or mornings and to travel as needed
  • Collaborative, team-oriented approach to work
  • Hybrid, three/four days in-office required

In accordance with the Colorado Equal Pay for Equal Work Act, the expected salary range for this Colorado position is between $32.50 hourly and$36.00 hourly. The actual compensation will be determined based on experience and other factors permitted by law.
