Job description

PRINCIPAL RESPONSIBLITIES:

This list of duties and responsibilities is not all-inclusive and may be expanded to include other duties and responsibilities as management deems necessary.

Order Entry and Coordination

  • Enter Special, Standard, and Modified Customer Sales Orders (approximately 30–70 orders per day).
  • Verify accuracy of pricing, special quotes, quantity pricing, engineering changes, and shipping details.
  • Send order confirmations to customers via email and notify production of any special delivery needs.
  • Ensure all required attachments, documents, and confirmations are properly saved and filed.
  • Expedite back orders and communicate updates promptly to customers.
  • Create and maintain engineering workflow numbers for special orders.
  • Check for overruns and ensure freight payer information is correctly entered

Customer Service

  • Handle approximately 40–50 customer calls per day, including inquiries from distributors, sales representatives, and end users.
  • Provide availability, pricing, and delivery information for products.
  • Check inventory levels in the U.S., Germany, and occasionally Canada.
  • Address and resolve customer inquiries, complaints, and order discrepancies.
  • Provide distributors with discount information and assist end users in locating distributors.
  • Maintain positive, professional relationships with all customers and coworkers.

Administrative Support

  • Enter and update special quotes as needed.
  • Scan delivery notes and assist with general administrative duties.
  • Prepare assigned reports, correspondence, and service logs accurately and on time.
  • Maintain accuracy and timeliness in all computerized data entry and documentation.
  • Take on additional duties and projects as assigned by management.

EDUCATION:

  • High school diploma or equivalent required.
  • One to three years of experience in an administrative and customer-focused role, preferably within a manufacturing or order-processing environment.
  • Experience with Microsoft Word and Excel required; experience with SAP software preferred.

1. Ability to read and interpret documents such as open orders, blueprints, and procedure manuals.
