Responsibilities & Expectations: 

Integrated Power Services is seeking a Customer Service Manager to provide efficient customer service for incoming orders and related paperwork, acting as a technical resource to address inquiries and ensure customer satisfaction, and managing various customer and sales-related tasks, including order processing and handling complaints. You will be responsible for Customer Service duties with a focus on delivering unmatched customer experiences. Responsibilities include:

  • Provide efficient customer service to ensure timely and cost-effective completion of all customer-related paperwork for incoming orders.
  • Act as a technical resource, addressing and resolving inquiries and problems.
  • Support outside sales organization and OEM partners by handling inquiries, quotes, vendor management, and ensuring customer expectations for total satisfaction.
  • Engage with the Purchasing team on inventory requirements, gaps, turns and other needs as they arise.
  • Coordinate and collaborate with functional areas to improve customer service, customer retention and target acquisition.
  • Take responsibility for order processing, investigation, resolution of customer complaints, and coordination of customer service objectives with shop operations.
  • Handle customer and sales correspondence, trace shipments, process orders, manage customer credits, and oversee inventories.
  • Review technical requirements of incoming purchase orders and translate them into instructions on work plans and internal order documents.
  • Prepare internal material requisitions for the purchase of materials and services related to order completion.
  • Complete special price quotations and bids in collaboration with sales personnel, ensuring close communication with customers to ensure satisfaction.
  • Interpret and ensure compliance with operating policies and procedures.
  • Proactively address customer service activities for timely and cost-effective completion of all related tasks.
  • Proactively suggest and present ideas to improve operations, drive margin improvement, streamline the quoting process, accelerate approval to ship, and enhance the overall customer experience.
  • Maintain an in-depth understanding of products, services, and competitors, leveraging knowledge to contribute to IPS business growth.
  • Take responsibility for key customer-facing metrics, including quality, time to quote, approval to ship, and ship to invoice.
  • Utilize CIPS tools and processes.
  • Regularly engage in daily Distribution and Warehouse operations and customer interfacing, including, but not limited to; customer quoting, customer communication, customer feedback, and other revenue generating activities and projects.
  • Follow proper controls and compliance with corporate policies and procedures.
  • Other duties as assigned by Area General Manager.

Qualifications and Competencies: 

  • BS/BA in Business or Finance, preferred
  • Sharp analytical thinking and reasoning abilities 
  • Proficient with Microsoft Office 
  • Ability to analyze and interpret data and take appropriate action 
  • Must be extremely detail-oriented with sound problem-solving skills 
  • Ability to prioritize and maintain high degree of organization 
  • Excellent time management 
  • Ability to communicate technical data in a clear and concise manner 
  • Poses excellent written and verbal skills  
  • Prefer 5+ years of technical sales or customer service, or similar experience 
  • Experience in motor repair or related industry 
  • Experience interpreting and understanding profit and loss statements 
  • Exceptional customer centricity to execute and deliver results.
