POSITION: Legal Practice Assistant
FLSA STATUS: Non-Exempt
DEPARTMENT: Office Support
SUPERVISOR: Office Administrator
SUMMARY: Under general supervision and according to Firm policies and procedures, performs a variety of secretarial duties for attorneys to whom assigned. Maintains positive contact with clients, attorneys, and staff and observes confidentiality of client matters.
Baker, Donelson, Bearman, Caldwell, & Berkowitz, PC has an opening for a Legal Practice Assistant in its Jackson, Mississippi office. This individual will support our Wills & Estates, Corporate, and Mergers & Acquisitions teams. The ideal candidate will have experience handling estate planning and administration, corporate transactions, and M&A due diligence and closing support. The candidate should also have experience providing administrative support in a professional environment and possess exceptional verbal and written communication skills. Strong organizational abilities are essential, along with the ability to work both independently and as part of a team.
This position may be posted externally under a market-aligned title to enhance candidate reach. Upon hire, the official title for the role will be Legal Support Coordinator.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Administrative support for the legal team: scheduling, filing, document management, travel arrangements, and calendar upkeep.
  • Case and matter coordination: track deadlines, manage matter workflows, maintain data rooms or document repositories, and monitor progress across multiple matters.
  • Drafting and document preparation: draft correspondence, memos, agreements, form templates, and discovery-related materials; proofread for accuracy and compliance.
  • Communication liaison: act as a point of contact between attorneys, clients, outside counsel, and internal staff; relay status updates and coordinate requests.
  • Due diligence and transaction support (where applicable): assist with data gathering, document collection, and organization for corporate transactions or litigation matters.
  • Assist with drafting support, redlining, version control, markup tracking, and preparation of transactional documents, including NDAs, LOIs, purchase agreements, and related documents.
  • Manage data rooms, access controls, confidential information, and document repositories
  • Data and knowledge management: maintain and organize electronic and physical files, ensure version control, and manage document management systems.
  • Billing and administrative processes: assist with time entry, invoicing support, expense tracking, and vendor or outside counsel communications.
  • Compliance and regulatory tasks: support with regulatory filings, conflicts checks, and maintaining records in line with firm policies or client requirements.
  • Research and information gathering: perform basic legal research using databases and provide summaries to lawyers.
  • Special projects: participate in firm initiatives related to workflow improvements, templates, playbooks, or process automation.
  • Performs other duties as requested by the Office Administrator.
  • Physical presence in the office is an essential duty of this position.

PREFFERED
  • College degree preferred but not required.
  • Five (5) or more years of law firm legal support, legal secretary, legal operations, paralegal, or related experience required.
  • Wills & Estates, Corporate, and Mergers & Acquisitions teams experience strongly preferred.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Ability to proofread typed material for grammatical, typographical or spelling errors.
  • Interpersonal skills necessary in order to communicate by phone and in person and follow instructions effectively with a diverse group of clients, attorneys and staff and provide information with ordinary courtesy and tact.
  • Work occasionally requires a high level of mental effort and strain when producing a high volume of information.
  • Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours.
  • Document management systems such as Big Hand, NetDocuments, or similar platforms.
  • Virtual data rooms and e-signature platforms.
  • Adobe Acrobat and PDF editing tools.
  • Billing and timekeeping software, including Aderant, iTimeKeep, or similar systems.
  • Case management, docketing, scanning, and imaging software.
  • Delaware UCC/VCC search experience and related lien search processes.
  • Project management and deal tracking tools.
