Essential Duties
  • Answers phones, routes calls and people to appropriate destination.
  • Takes mail and picks up mail at campus post office; routes paperwork to appropriate offices.
  • Maintains current filing system including general, personnel, construction projects.
  • Prepare and submit monthly General Statement of Expenditures Report; run monthly budget reports; prepare purchase requisitions and process purchase orders.
  • Revise Public Official Bond.
  • Responsible for IHL requirements such as but not limited to agenda items, construction projects, insurance policies, etc.
  • Maintains VPO/CFO webpage.
  • Help prepare, distribute budget books, financial statements, supplementals.
  • Prepare and submit university's project requests.
  • Coordinate annual Repair & Renovation visit.
  • Reviews/updates Administrative Duties Handbook document and webpage.
  • Supervise VPO student workers.
  • Provide administrative support to VPO/CFO and directors.
  • Approve posts to official listserve.
  • Answer contract inquires and and support procurement and requests.
  • Manage university travel program including processing reimbursements, policies, and cash advances.
  • Perform other reasonable duties as assigned.

Minimum Qualifications
Education:
Bachelors' degree preferred; professional knowledge equivalent to a bachelor's degree required
Experience:
  • 3 years experience in a professional office environment required; executive administrative experience preferred
  • Knowledge of higher education working units, policies, and procedures preferred
  • Knowledge of word processing and spreadsheet software
  • Ability to write routine reports and correspondence
  • Excellent oral and written communication skills
  • Ability to work independently with minimum supervision and meet deadlines with short notice
  • Strong organizational skills
  • Ability to accurately record and report meeting notes
  • Maintain confidentiality and professional conduct with students, employees and the general public

Job Description Summary
Provide administrative support to Vice President for Operations/Chief Financial Officer (VPO/CFO), provide assistance to VPO directors, hire, train and supervise office student workers, process essential documents as related to finance, payroll, compliance, travel, procurement, university projects, etc., prepare and submit required reports and approvals to Institutions of Higher Learning (IHL), Attorney General's Office, Bureau of Buildings and Miss. Dept. of Finance & Administration, help prepare and distribute budget books/financial statements to all campus departments, IHL and other IHL universities, serve as a resource for university contract processes, act in a support role for certain outsourced services, facilities planning, university disaster plan and construction projects.
