Construction Estimating Virtual Assistant

And we're looking for a Construction Estimating Virtual Assistant to start immediately!
Duties and Responsibilities include but are not limited to:
• Bid Proposal Writing & Scope Preparation: Draft clear, professional, and winning bid proposals, scope sheets, proposal letters, and explicit lists of inclusions, exclusions, and project qualifications for client submission.
• Quantity Takeoffs: Perform detailed, accurate material and labor quantity takeoffs from construction drawings, specs, and PDF plan sets.
• ITB Management (PlanHub): Manage the Invitation to Bid process through PlanHub. Issue bid invites to relevant subcontractors, track coverage, and manage follow-ups to ensure competitive trade pricing.
• Estimating & Pricing (Contractor Foreman): Build, organize, and finalize line-item estimates and scope breakdowns in Contractor Foreman. Prepare change order pricing and documentation as needed.
• Subcontractor Outreach & Bid Leveling: Conduct active outreach to subcontractors, collect incoming quotes, perform thorough scope comparisons/bid leveling, and track quote statuses.
• RFI Coordination & Logging: Identify plan ambiguities, draft Requests for Information (RFIs), track RFI responses, and distribute updates to bidding subcontractors.
• Bid Calendar & Database Upkeep: Maintain the company bid calendar to ensure all submission deadlines are met. Keep subcontractor databases, pre-qualifications, and contact records organized and up to date.
Specific Requirements:
• Commercial Construction Background: 3+ years of experience in commercial construction estimating, scope development, and proposal writing.
• Proposal Writing Expertise: Proven ability to craft clear, polished, and persuasive commercial bid proposals, including well-defined exclusions, clarifications, and allowances.
Software and tools:
• Hands-on experience with Contractor Foreman (or rapid adaptability with similar platforms)
• Direct experience using PlanHub for ITB management
• Proficiency in digital takeoff tools (e.g., Bluebeam, PlanSwift, STACK)
• Google Workspace
• Adobe Acrobat Pro
Technical Requirements:
• USB Headset with Noise Cancellation feature
• Working Webcam
• Main and backup computer: at least 1.8 GHz processor with at least 4GB RAM
• Main Internet Service Speed: at least 25 Mbps wired connection
• Backup Internet Service Speed: at least 10 Mbps
Schedule: 06:00 AM - 3:00 PM PST
