Job description

Executive Administrative Assistant

Platte County Mental Health Board

Platte County, Missouri

Hybrid position, primarily remote, with required in-person attendance for Board meetings, committee meetings, and other Board business as needed.

Part-time, 1099 Contract, estimated 16-20 hours per week

Compensation: Hourly rate starting at $25.00+ per hour depending on qualifications.

The Platte County Mental Health Board is a newly formed public governmental body established to oversee local mental health funding for Platte County residents under Missouri law.  The Board was created after Platte County separated from the prior Tri-County structure and now oversees approximately $3-4 million in annual mental health tax revenue for local services and programs.

The Executive Administrative Assistant will serve as the Board’s primary administrative support and will help build the operational foundation of a new county mental health board.  This role supports the Board Chair and Board of Trustees directly and includes executive support, Board meetings, public records administration, accounts payable and day-to-day bookkeeping functions.

Core Responsibilities

·       Prepare Board and committee meeting agendas, packets, minutes, notices, and official records in compliance with Missouri Sunshine Law requirements.

·       Coordinate calendars, correspondence, scheduling, and administrative support for the Board Chair and Board members.

·       Serve as primary point of contact for community partners, county officials, funded agencies, and the public.

·       Maintain Board records, contracts, vendor files, polices, and administrative systems for a newly established organization.

·       Process invoices, maintain accounts payable documentation, assist with bookkeeping, track expenditures, and prepare financial summaries for Board review.

·       Support budget tracking, audit preparation, contract documentation, and grant funding records.

·       Will need experience with accounting and bookkeeping.

·       Help manage public record requests and maintain orderly compliance with Missouri open meetings and open records requirements.

Qualifications

·       High school diploma or GED required, associate or bachelor’s degree in business, public administration, accounting, office management, or a related field preferred.

·       At least three years of progressively responsible administrative support experience required.

·       Experience with accounts payable, bookkeeping, invoice processing, QuickBooks, or financial record keeping strongly preferred.

·       Experience supporting a governing board, public agency, nonprofit, healthcare organization or behavioral organization preferred.

·       Strong organizational, communication, and records-management skills required.

·       Proficiency with Microsoft Office, virtual meeting platforms, and electronic filing systems required.

·       Ability to work independently in a primarily remote environment while maintaining responsiveness, discretion, and professionalism required.

Work Arrangement

This is a hybrid position with most routine work performed remotely.  In-person attendance will be required for Board meetings, committee meetings, periodic county meetings, records management needs, and other duties as directed by the Board Chair.  This job will be a twenty to twenty-five hours a week job subject to the Board requirement.  Hourly rate starting at $25.00+ per hour depending on qualifications.

Application Process

Applications will be reviewed on a rolling basis, and the position will remain open until filled.  The Board anticipates onboarding the selected candidate as soon as mutually agreeable.
