Job description

Characteristics of Work

The incumbent will serve as assistant to the Vice President, Department of Family Opportunities. Incumbent will be responsible for assisting the Vice President, Department of Family Opportunities in the administration, planning and coordination of the Agency’s community service programs in accordance with applicable federal/state regulations and guidelines. The incumbent will also assist in performing activities necessary to control and coordinate all management and support activities of the Department Family Opportunities.

Essential Functions

These essential functions include, but are not limited to, the following, additional essential functions may be identified and included by the Agency.

Provide department leadership and in the absence of the Vice President of Department of Family Opportunities represent the Vice President of Department of Family Opportunities.

Oversees and ensures certification screening of customers.

Ensures all staff of understanding processing procedures, rules, regulations, and guidelines for all DFO programs.

Serves as a liaison with utility vendors.

Supervises and ensures the delivery of the Congregate Meals Program and Home Delivered Meals Program.

Compiles monthly reports of congregate meals programs and home delivered meals.

Monitors the Low Income Home Energy Assistance Program (LIHEAP) expenditures and budget.

Attends all necessary workshops, meeting, etc. in relation to Community Services Block Grants (CSBG), LIHEAP, Meals-on-Wheels, and others at the direction of the Vice President of Department of Family Opportunities.

Oversee and monitor approval by Family Opportunity Advisor Supervisor of mileage reimbursement requests, time sheets and intake applications for accuracy.

Implements and monitors data tracking and reporting of client records and reports.

Verifies and consults with Fiscal Department regarding client assistance checks.

Consults with Family Opportunities Supervisor regarding client hearings and concerns.

Compiles and submits program reports to the Vice President of Department of Family Opportunities for submission to the funding source(s).

Acts as point of contact for Virtual ROMA tracking system.

Compiles needs assessment to facilitate program planning

Additional Responsibilities

Performs other related duties as assigned by supervisor.

Qualifications

A Bachelor’s degree from an accredited four-year-college or university in administration or related field or equivalent in experience; and one (1) year of experience at a supervisory level.
