What is a vendor pass?

Vendor passes are special credentials or permits issued to suppliers, contractors, or third-party vendors that allow them temporary access to a company's facilities or events. These passes are typically required for security reasons, ensuring that only authorized personnel can enter restricted areas. The process for obtaining a vendor pass usually involves registration, background checks, and compliance with the host company's policies. Vendor passes are commonly used in industries such as corporate offices, hospitals, conferences, and large events to manage and monitor external visitors.

What are the key skills and qualifications needed to thrive as a vendor manager, and why are they important?

To thrive as a Vendor Manager, you need strong negotiation, contract management, and supply chain knowledge, typically supported by a degree in business or a related field. Familiarity with procurement software, contract management systems, and relevant certifications such as Certified Professional in Supply Management (CPSM) are often required. Excellent communication, relationship-building, and problem-solving skills help you effectively manage vendor relationships and resolve conflicts. These skills ensure efficient vendor performance, cost savings, and the smooth operation of business processes.

What are the typical responsibilities and challenges faced by a vendor pass coordinator within a corporate environment?

A Vendor Pass Coordinator is responsible for managing the issuance, tracking, and renewal of access passes for external vendors entering corporate premises. This role frequently involves coordinating with security teams, verifying vendor credentials, and ensuring compliance with company policies. Common challenges include handling high volumes of requests, addressing last-minute changes, and maintaining accurate records to uphold security standards. Vendor Pass Coordinators often collaborate closely with facilities management, procurement, and IT departments to ensure smooth vendor access while minimizing security risks.

Role : Business Process Consultant – Billing Architecture & Revenue Operations

Location : Remote (Healthcare Exp Must)

Role Summary

We are looking for a Business Process Consultant to create a structured and defensible documentation framework of current-state billing operations across multiple revenue models. The objective is to produce clear architectural visibility into billing complexity, manual dependencies, and operational risk.

This role focuses on transparency, operational clarity, and documentation excellence—not solution design or automation.

Primary Objectives

  • Establish a Master Billing Architecture Overview
  • Map parallel billing model lanes
  • Identify manual vs. automated steps
  • Surface operational risk areas
  • Create documentation foundation for future strategic decisions

Scope of Work

Billing Model Documentation

Document the following models in their current operational state:

  • Fixed Fee
  • PMPM / PEPM (tiered)
  • Cost Plus
  • Per Visit
  • Pass-Through Vendor Billing
  • Patient Fees
  • Access Fees
  • Annual Escalators (as embedded sub-process)

Deliverables

1️ Master Architecture Documentation

  • Consolidated billing overview
  • Data sources and integration points
  • Invoice assembly workflow
  • ERP posting process
  • Cross-model dependencies
  • Manual vs automated overlays

2️ Model-Level Documentation

For each billing model:

Structured Narrative

  • Contract triggers
  • Effective-date handling
  • Source data inputs
  • Calculation logic
  • Markups and allocations
  • Adjustments and credits
  • Exception handling
  • Reconciliation methodology

Visual Documentation

  • Finance / IT / System swimlanes
  • Data flow diagrams
  • Vendor intake maps
  • Markup logic diagrams
  • Approval workflows

Required Experience

  • 5+ years in billing, invoicing, or revenue operations analysis
  • Strong understanding of multi-model billing environments
  • Experience documenting complex pricing and contract logic
  • Strong SQL capability for validation (SQL Server preferred)
  • Experience reconciling billing data using Excel
  • Demonstrated ability to document current-state processes without redesigning them
  • Strong stakeholder facilitation skills

Nice to Have

  • Experience in vendor pass-through operations
  • Healthcare or SaaS billing exposure
  • Controls and audit documentation mindset
  • Experience publishing documentation in structured repositories
  • Exposure to ERP-based invoicing environments
