Department: Vaccines Quality Records & Training Compliance

Role Summary

We are seeking a detail-oriented Quality Records & Documentation Specialist to join our team in Pearl River, NY . In this role, you will support the administration of the Vaccines Quality Records & Training Compliance group, ensuring all physical and digital records strictly adhere to enterprise policies, retention schedules, and regulatory standards.

You will play a critical role in maintaining an inspection-ready environment, managing day-to-day Records Room logistics, and providing collaborative documentation support to our internal scientific community and external partners.

Key Responsibilities

  • Records Room Operations: Oversee day-to-day operations of the Vaccines Records Room, including the archiving, retrieval, scanning, and tracking of critical and non-critical physical record requests.

  • Inventory & Logistics: Maintain an organized, orderly, and inspection-ready state for all long-term inventory. Coordinate the tracking and shipping of records to/from off-site storage vendors and external partners.

  • Compliance & Policy Support: Support the administration of quality records and retention schedules in compliance with local/enterprise policies, quality standards, and departmental procedures.

  • Scientific Community Support: Serve as a dedicated documentation point-of-contact for the Vaccines scientific team, assisting with inquiries and documentation requests.

  • Cross-Functional Collaboration: Partner effectively with external entities, including contract labs, external records storage vendors, and enterprise groups outside of Vaccines.

Qualifications & Requirements

Education & Experience

  • Required: High School Diploma or Associate's Degree.

  • Required: Previous experience working within a regulated environment (e.g., cGMP, ISO, or related standards).

  • Preferred: Bachelor's Degree in Life Sciences, Technology, or a related field.

  • Preferred: Previous professional experience within the pharmaceutical industry.

Technical & Skills Requirements

  • Required: Strong verbal and written communication skills with high attention to detail.

  • Required: Physical capability to perform moderate lifting (documents/boxes), sitting, standing, and walking as needed in a warehouse or records room environment.

  • Preferred: Hands-on experience with records and documentation management systems.

  • Preferred: Proficiency with Microsoft Office 365 / Office Suite and Adobe Acrobat Professional.

Pay Details: $20.00 to $25.61 per hour
