Position Summary

Kiwanda Coastal Properties is seeking a proactive, hands-on Property Care Manager to oversee the maintenance, safety, presentation, and overall care of our coastal vacation rental homes in Pacific City, Oregon.

This is a field-based role for someone who is comfortable both performing basic maintenance and coordinating larger repairs. The right person can walk into a home, notice what needs attention, troubleshoot common household issues, complete practical fixes when appropriate, and determine when a vendor or licensed contractor is needed.

Strong organization, communication, and follow-through are essential. This role requires clear documentation, regular owner and vendor updates, and consistent use of company technology systems to track work orders, photos, approvals, timelines, and completed repairs.

Every day is different, from handling small repairs and urgent guest-facing issues to inspecting homes, coordinating vendors, communicating with homeowners, and recommending improvements that keep properties safe, functional, beautiful, and guest-ready.

Key Responsibilities

Property Ownership & Preventative Care

  • Regularly inspect vacation homes to identify maintenance concerns, safety issues, presentation opportunities, and guest experience risks before they become problems.

  • Take ownership of property issues from discovery through resolution.

  • Seek out work and solve problems proactively rather than waiting to be assigned every task.

  • Prioritize preventative maintenance, seasonal needs, emergency repairs, and long-term property improvements.

  • Identify opportunities to improve operational efficiency while protecting homeowner investments.

  • Foster a culture where issues are identified early, documented thoroughly, and resolved completely.

Hands-On Maintenance & Problem Solving

  • Personally perform basic maintenance, repairs, adjustments, troubleshooting, and property fixes when appropriate.

  • Diagnose & solve common household issues involving appliances, plumbing, electrical components, Wi-Fi, televisions, locks, doors, windows, furniture, BBQs, and other home systems.

  • Determine whether repairs can be completed internally or require outside vendors.

  • Coordinate repairs and monitor progress until work is completed to company standards.

  • Prevent minor maintenance concerns from becoming larger guest, homeowner, or operational issues.

  • Respond calmly and effectively to unexpected property challenges.

Vendor & Project Management

  • Develop and maintain strong relationships with trusted local vendors, contractors, and service providers.

  • Schedule repairs, maintenance, inspections, and improvement projects.

  • Obtain bids, compare repair options, and recommend cost-effective solutions.

  • Track open projects, owner approvals, timelines, and completion status.

  • Verify completed work through inspections, photos, and documentation.

  • Hold vendors accountable for quality, communication, and timeliness.

Homeowner Communication & Property Advising

  • Build trusted relationships with homeowners through proactive communication and consistent follow-through.

  • Provide updates, photos, timelines, recommendations, and maintenance summaries.

  • Recommend improvements that enhance safety, guest satisfaction, operational efficiency, and long-term property value.

  • Communicate clearly and professionally about repairs, safety concerns, home condition, guest experience risks, and improvement opportunities.

  • Educate homeowners on preventative maintenance, capital improvements, and guest experience opportunities.

  • Escalate complex homeowner concerns to the Owner/General Manager or Assistant General Manager when appropriate.

Property Standards & Guest Readiness

  • Maintain exceptional standards for cleanliness, presentation, safety, organization, and functionality across every property.

  • Evaluate homes for décor, furnishings, lighting, organization, inventory, outdoor spaces, and overall guest appeal.

  • Recommend refreshes, replacements, organizational improvements, and aesthetic upgrades that elevate the guest experience.

  • Coordinate approved improvements from planning through completion.

  • Collaborate with administration and marketing to update listings, photos, guest guides, and property information following improvements.

Housekeeping, Inspection & Guest-Ready Support

  • Partner closely with housekeeping, guest services, inspectors, administration, and the Assistant General Manager to ensure homes remain guest-ready.

  • Resolve issues identified during cleans, inspections, guest stays, or homeowner visits.

  • Identify recurring maintenance, cleaning, stocking, or staging concerns and implement long-term solutions.

  • Support deep clean planning and seasonal property readiness.

Safety & Emergency Response

  • Monitor homes for safety concerns involving structures, furniture, appliances, decks, hot tubs, fireplaces, locks, and other property features.

  • Coordinate timely correction of safety hazards.

  • Support storm preparation, freeze prevention, emergency response, and seasonal property maintenance.

  • Participate in after-hours property support during emergencies, severe weather, holidays, weekends, and peak occupancy periods as needed.

Documentation & Operational Systems

  • Maintain accurate records of maintenance requests, inspections, vendor updates, owner approvals, work orders, and completed projects.

  • Ensure all communication is well documented within company systems.

  • Continuously improve property notes, maintenance tracking, inspection documentation, and operational processes.

  • Maintain exceptional follow-through from initial discovery through final resolution.

Required Qualifications
  • At least 1 year of experience maintaining residential homes, vacation rentals, hospitality properties, or similar facilities.

  • Practical ability to perform basic household maintenance and repairs.

  • Comfort using common hand tools and basic maintenance equipment.

  • Self-motivated with the initiative to identify problems, prioritize work, and follow through with minimal supervision.

  • Strong organizational skills with the ability to manage multiple homes, vendors, projects, and competing priorities simultaneously.

  • Excellent written and verbal communication skills, with the ability to build trust and communicate professionally with homeowners, vendors, contractors, and team members.

  • Proven ability to coordinate vendors, monitor project progress, and ensure work is completed on time and to a high standard.

  • Sound judgment when balancing homeowner expectations, guest experience, safety, quality, urgency, and cost.

  • Comfortable performing property inspections, documenting findings, taking photos, and traveling regularly between homes throughout the Pacific City, Oregon area.

  • Proficient with email, mobile technology, property management software, task management systems, and digital documentation tools.

  • Valid driver's license, reliable transportation, and the ability to travel between local properties throughout the workday.

  • Available to support occasional evenings, weekends, holidays, severe weather events, and urgent property situations as business needs require.

Preferred Qualifications

  • Experience in vacation rentals, hospitality maintenance, residential maintenance, property management, construction, handyman services, or home services.

  • Working knowledge of basic plumbing, appliance troubleshooting, door/window hardware, smart locks, Wi-Fi/TV troubleshooting, decks, BBQs, hot tubs, and coastal home care.

  • Experience communicating directly with homeowners, clients, vendors, or contractors.

  • Eye for design, décor, staging, organization, curb appeal, and guest experience.

  • Experience managing bids, small projects, vendor schedules, or property improvement work.

  • Familiarity with task and/or property management software, Google Workspace, or similar systems.

This is a full-time, field-based position serving vacation rental homes throughout Pacific City and the surrounding area.
