United University Professions (UUP), the union representing faculty and professional staff at the State University of New York (SUNY), is seeking a highly organized and dependable administrative assistant to support the UUP Empire State Chapter in Saratoga Springs, NY.

The administrative assistant reports to the Chapter President or their designee and helps ensure the efficient day-to-day operation of the chapter office. Responsibilities include:

  • Providing administrative support to chapter officers and assisting with day-to-day union activities, requests, and initiatives.
  • Serving as a professional and welcoming point of contact for members and responding to routine questions and requests for information.
  • Maintaining confidentiality when handling member concerns, labor relations matters, and other sensitive information.
  • Coordinating chapter programs, services, meetings, and events for members.
  • Scheduling and coordinating appointments and meetings, including preparing materials and assisting with meeting logistics.
  • Drafting and distributing email communications, notices, and other correspondence to chapter members.
  • Answering telephone calls, monitoring correspondence, opening and distributing mail, and maintaining organized office records.
  • Assisting the Chapter Treasurer with financial recordkeeping, reimbursements, and related administrative tasks.
  • Maintaining and updating chapter social media communications.
  • Occasional travel to Headquarters office in Latham, NY.
  • Working collaboratively with chapter officers, members, UUP staff, and the Labor Relations Specialist.

The ideal candidate will have strong computer skills and proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.  Previous administrative or office management experience preferred. The position requires excellent interpersonal, communication, and organizational skills.  The ideal candidate should be detailed oriented, show flexibility working in a fast-paced environment, and have the ability to work independently while also collaborating effectively with others. An interest in and commitment to unions, organized labor, worker advocacy, and/or activism is strongly preferred.
