Job description

Mailroom & Logistics Coordinator
QuickPro Staffing is currently seeking a Mailroom & Logistics Coordinator to oversee daily mailroom, shipping, receiving, freight, and courier operations for a busy institutional/campus environment. This position will coordinate incoming and outgoing mail and shipments while providing excellent service to internal departments, vendors, and customers.
Position Responsibilities
  • Oversee daily mailroom, shipping, receiving, and courier operations.
  • Receive, sort, process, and distribute incoming and outgoing mail.
  • Prepare and process outgoing packages, freight, and special shipments through USPS, FedEx, UPS, and other carriers.
  • Verify shipment and delivery information for accuracy and timeliness.
  • Operate postage meters, mailing equipment, warehouse equipment, and other related machinery.
  • Maintain accurate delivery, shipping, inventory, and logistics records.
  • Prepare reports, chargebacks, accounting forms, schedules, and other administrative documentation.
  • Coordinate bulk mailings, special projects, and shipping needs with campus/department personnel.
  • Serve as the primary liaison with USPS, FedEx, UPS, vendors, contractors, and other service providers.
  • Coordinate freight deliveries for departments, laboratories, and other facilities.
  • Maintain security and organization of mailroom, shipping, and logistics areas.
  • Monitor and maintain inventory of shipping and mailroom supplies.
  • Assist with lost, damaged, or missing parcel claims.
  • Ensure compliance with postal regulations, shipping requirements, and organizational policies.
  • Communicate professionally with departments, vendors, contractors, and customers regarding mail and shipping needs.
  • Support management with scheduling, reporting, budgeting, and general administrative responsibilities.
  • Participate in professional development related to logistics, mail operations, shipping, and workplace safety.
  • Perform other related duties as assigned.
Minimum Qualifications
  • Associate degree, technical training/certification, or equivalent combination of education and experience.
  • 1–2 years of experience in mailroom operations, shipping/receiving, warehousing, logistics, or customer service.
  • Proficiency with Microsoft Office, including Word, Excel, and Outlook.
  • Experience with inventory systems and recordkeeping.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to work independently, prioritize multiple tasks, and meet deadlines with minimal supervision.
  • Professional, dependable, and collaborative approach to working with others.
  • Valid driver's license.
  • Ability to stand, walk, bend, lift, and move packages and other materials throughout the workday.
  • Ability to work both indoors and outdoors as required.
Preferred Qualifications
  • Bachelor's degree in Business, Management, Logistics, or a related field.
  • Knowledge of USPS regulations and mail-processing procedures.
  • Previous experience working in a university, institutional, corporate, or large-scale mailroom/logistics environment.
  • Experience operating delivery vehicles, forklifts, or warehouse equipment.
  • Previous experience coordinating freight, bulk mailings, or special shipping projects.
