Job description

QuickPro Staffing is seeking a detail-oriented and experienced Payroll Specialist for a client in Fairborn, Ohio. This position is responsible for ensuring accurate and timely payroll processing while maintaining compliance with federal, state, and local regulations. The ideal candidate is highly organized, maintains confidentiality, and enjoys working in a fast-paced environment.

Key Responsibilities
This job description is not intended to be all-inclusive. Additional duties may be assigned as business needs require.
  • Process payroll accurately and on time for all employees.
  • Audit employee data, time and attendance records, pay calculations, deductions, taxes, and payroll reports to ensure accuracy.
  • Maintain payroll-related general ledger entries and prepare month-end, quarterly, and year-end payroll reports.
  • Support internal and external payroll audits.
  • Process employee status changes, including new hires, terminations, pay rate changes, and job changes.
  • Calculate and process bonus and commission payments accurately.
  • Administer payroll deductions, including health insurance, retirement plans, 401(k) contributions, company match programs, and profit-sharing.
  • Ensure payroll processes comply with company policies and all applicable payroll regulations.
  • Track and maintain payroll earning codes and pay details.
  • Maintain secure payroll records and I-9 documentation while ensuring regulatory compliance.
  • Update employee payroll information, including direct deposit, tax withholding, and contact information.
  • Partner with Human Resources to process benefit deductions, leave of absence adjustments, and other payroll changes.
  • Process payroll adjustments and off-cycle payrolls as needed.
  • Respond to employee payroll questions and resolve discrepancies professionally and promptly.
  • Stay current on payroll laws and regulations, including FLSA, IRS, FICA, and applicable state requirements.
  • Coordinate employee building access, including key fobs, alarm codes, and access updates.
  • Assist with new hire orientation and I-9 verification.
  • Coordinate 401(k) enrollment, loans, distributions, and termination updates.
  • Audit payroll and benefit information to support ACA compliance and reporting.
  • Prepare payroll KPI reports.
  • Participate in payroll and Human Resources projects focused on process improvements.
Qualifications
  • Previous payroll processing experience required.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Ability to work independently.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
Requirements
  • Associate's Degree in Accounting, Finance, Human Resources, Business, or a related field preferred (or equivalent work experience).
  • 2–4 years of payroll or related experience.
  • Knowledge of payroll laws and regulations, including FLSA, wage and hour laws, and tax compliance.
  • Proficiency with Microsoft Office.
  • Experience with HRIS or payroll management software preferred.
