Job description

Overview

Under general supervision, is responsible for all mail, packages and interoffice correspondence handling and dispatching for all classes of mail/packages. Responsibilities may also include copy center activities, reception, hospitality and/or other duties as assigned. In addition, this position will support the finance team with various tasks including process documentation, meeting minutes, automation, and process improvements. This position will provide training for self-development in excel, PowerPoint, RPA, etc.

ResponsibilitiesMailroom Duties
  • Proficiency in computer skills and adaptability to advanced applications
  • Receive, sort, and deliver all incoming mail & packages within established time frames
  • Log incoming and outgoing items received as required and review for accuracy/completeness
  • Process all outgoing USPS mail and UPS shipping request
  • Maintain pantry area, coffee supplies and conduct periodic conference room checks
  • Monitor and replenish all inventory of supplies, stock paper and toner and keep the common areas and copy areas neat and organized
  • Provide print service and produce bound copies of work when requested; May provide minor maintenance of photocopy machine such as solving paper jams, placing service calls and routine cleanings
  • Prepare and submit daily/monthly production volume reports to measure productivity
  • Train end users on new features and functionalities of copying machines, faxes, scanning, shipping equipment as introduced at the site
  • Escort and monitor service technicians that respond to service calls
Finance Duties
  • Assist the GL/AP team as requested with adhoc requests.
  • Assist the NY directors with adhoc requests
  • Project management of finance projects to assist with excel documentation of project, sending follow ups, tracking of progress, open items, etc.
  • Process documentation and meeting minutes.
  • Development Training (smart sheet, excel, RPA, etc.)
  • Process improvement and automation using various tools
  • AP checks mailing and reconciliation processes.
PHYSICAL DEMANDS/WORKING CONDITIONS/MENTAL QUALIFICATIONS
  • Requires regular twisting/turning/squatting/bending/reaching/lifting and prolonged periods of sitting, standing or walking.
  • May regularly lift and carry up to 20 lbs. and move (push mail cart) over 50 lbs.
  • May occasionally lift up to 50 lbs.
  • May occasionally need to climb stairs.
  • Ability to work overtime
Qualifications
  • High school Diploma or equivalent
  • 2+ years' experience working in a mailroom or professional office environment
  • Thorough knowledge of all metering, weighting, logging and other shipping procedures
  • Proficiency in computer skills and adaptability to advanced applications
  • Ability to perform complex functions of various equipment and systems (fax, scanner, metering, stamping, tracking systems,

  • Strong communication skills, oral and written
