Job description

Loan Services Specialist
Position Purpose:
Responsible for imaging, retrieving, tracking, and performing maintenance of member files for the Credit Union and ensuring the accuracy of all electronic documents. Assist with collateral title processes and lien perfecting by working cohesively with appropriate vendor. Scan and maintain all documentation relating to the member files or as requested by management and ensuring its accuracy. Assist the scheduled pickup and delivery of mail items, documents and small packages across department/branches. Performs daily mail errand runs to USPS, Fed-Ex, etc. Must work as a team player with a positive attitude, ability to multi-task and is comfortable in a changing environment.
Duties and Responsibilities:
  • Monitors and tracks modification reports for receipt of proper documentation and signatures which include but is not limited to loan extension/modification request and file maintenance in the core system and third-party vendor’s electronic lien system, etc.
  • Assist with the daily collateral title process and procedures.
  • Processes incoming loan and credit card payments received through incoming mail.
  • Prepares outgoing mail items for USPS delivery and pick up.
  • Assists with the completion of the daily intra office mail retrieval, mail run to USPS, and delivery for the credit union branch locations.
  • Sorts incoming and outgoing postal and intra office mail for distribution to proper departments and/or employees.
  • Process, post, verify, post, and send the member’s documentation necessary for processes such as loan Paid Ahead and loan Paid in Full, etc.
  • Post, verify, and adjust debt protection payments to the member’s loan as deemed by the claim reports.
  • File, process, and post back-end loan product, such as GAP and/or extended warranty, claims as deemed by third party vendor to the member’s loan.
  • Monitors and update account level processing with returned mail notifications as received from the USPS.
  • Conducts thorough and accurate account research requests within a timely manner.
  • Addresses incoming faxed information, helpdesk tickets or routes the incoming faxes to the appropriate department in a timely manner.
  • Ensures file room area and documents are maintained according to the organization’s record retention schedule by coordinating pickups and delivery with storage vendor.
  • Responsible for adhering to and maintaining Record Retention guidelines in accordance with Federal Regulations
  • Ensures the centralized scanning process and procedure is done daily.
  • Assists other personnel and staff as needed.
  • Keeps supervisor informed of area activities and of any significant problems or concerns.
  • Completes required reports and records accurately and promptly.
  • Maintains written procedures for the position.
  • Attend meetings and training as required.
  • Ensures work area is clean, secure, and well maintained at all times.
  • Keeps up to date on all policy changes and revisions.
  • Demonstrates Essential core values consistently and adheres to the Code of Conduct.
  • Ensures Bank Secrecy Act, Consumer Identification Policy, and OFAC policies are followed.
  • Maintains and projects Essential FCU’s professional reputation and privacy of account information.

Major Accountabilities:
  • Monitoring, tracking, and validating account documentation required as it relates to the Loan Operations Department.
  • Scanning and maintaining all documentation relating to the member files and ensuring its accuracy.
  • Completes and validates the accuracy of the required reports and records within allotted timeframe.
  • Process incoming loan payments received through the mail.
  • Monitor and update account(s) with the USPS returned mail notification.
  • Use of critical judgment in day-to-day situations and problems within established guidelines.
  • Adhering to record retention policies as it relates to lending documents and title perfections.
  • Timely respond to member and employees requests by managing help desk tickets and phone calls effectively.

Job Specification:
High School Diploma
Training Requirements:
  • Maintain knowledge of Microsoft Office Products (word processing, spreadsheets and presentation software).
  • Use of desktop and laptop computers.
  • Knowledge of the core system and its ancillary software programs.

Work Experience
Experience working in a financial institution with a minimum of three years is required.

Physical Requirements

Must by capable of regular, reliable and timely attendance.
