About the Role

The Front Desk Assistant is part of the internal EnviroScience administrative team and reports to the Senior Logistics and Facility Manager. This highly-visible position plays a key role in ensuring the office runs smoothly by supporting a wide range of functions across multiple departments in the organization. The position is full time and in-office.

Essential Duties & Responsibilities

Front Desk Management

Manage inbound phone calls, email, and general correspondence inquiries; route to appropriate person/department

Greet and direct both scheduled and impromptu visitors

Manage office mail/packages including collection, sorting, and distribution of incoming mail. Mail outgoing parcels; maintain postage meter

Prepare shipments for UPS/USPS/FedEx including tracking and troubleshoot delivery issues

Maintain inventory of office supplies, reorder as appropriate

Complete requests for faxing, filing, photocopying, scanning, collating and binding

Manage and execute employee business card and ID programs

Department Support

Offer support to multiple departments to assist in completing their projects and initiatives

Schedule and organize meetings or department events as requested; set up meeting rooms and order lunch as appropriate

Support specifically the Human Resources department with administrative tasks

Office duties

Oversee office services such as maintenance service providers

Ensure coffee stations and office kitchen is well stocked and organized

Direct and assist building maintenance vendor activity

Ensure all meeting rooms are tidy and stocked with necessary supplies

Other responsibilities as assigned

Requirements

Minimum Qualifications:

Education: High School Diploma

Experience: 2+ years in administrative role

Preferred Qualifications:

Education: Associate's Degree

Experience: 3+ years in Front Desk role
