Job description

Location: Hattie Mae White Department: UIL Athletics & Activities Area:Northwest Contract Months:12 Salary Range: $45,000.00 - $55,000.00 Academic Year: 26-27 JOB SUMMARY The UIL Specialist 1 provides clerical and administrative support for UIL athletics and activities, while serving as the primary front desk receptionist for the UIL Academics/Athletics Department. Assists with compliance documentation, financial processing, transportation coordination, and general office operations. Ensures accurate recordkeeping and customer service while supporting coaches, campuses, and department staff in accordance with UIL and district guidelines

MAJOR DUTIES & RESPONSIBILITIES List most important duties first - Serve as primary receptionist by answering phones, greeting visitors, and directing inquiries. - Provide customer service support to coaches, campuses, vendors, and stakeholders. - Assist with UIL compliance processes including eligibility forms and insurance documentation.

- Support District Executive Committee processes by organizing and maintaining records. - Process basic financial transactions including requisitions, ProCard allocations, and direct pays. - Assist with travel coordination and reimbursements.

- Maintain files and databases for financial and compliance records. MAJOR DUTIES & RESPONSIBILITIES CONTINUED - Assist with scheduling and coordination of athletic transportation. - Prepare and distribute athletic passes and correspondence.

- Support coordination of events, meetings, and functions. - Maintain office supplies and inventory. - Provide backup support for clerical and administrative functions.

- Perform other duties as assigned. EDUCATION High School Diploma or GED Associate degree or 60 hours preferred but not required WORK EXPERIENCE 1 to 3 years SKILL AND/OR REQUIRED LICENSING/CERTIFICATION Software Oracle PeopleSoft SAP HTML Microsoft Office CAD Chancery Certifications/Licensure N/A Equipment Office equipment (e.g., computer, copier) LEADERSHIP RESPONSIBILITIES -No supervisory responsibilities. May provide occasional work guidance, technical advice, and training to staff

WORK COMPLEXITY/INDEPENDENT JUDGMENT -Work and tasks are moderately complex but structured, following established UIL and district procedures. Independent judgment is used in prioritizing tasks, handling customer inquiries, and processing documentation. Ongoing supervision is available as needed.

BUDGET AUTHORITY -Compiles and organizes data and figures. -Analyzes and interprets data and figures. PROBLEM SOLVING -Decisions are made on routine matters affecting few individuals and usually within the confines of the job's own department.

Specific job activities and results are typically reviewed closely. There are limited requirements for developing new ideas or changes in methods, procedures, or services. IMPACT OF DECISIONS -Decisions have minor to moderate impact on departmental operations.

Errors are typically identifiable and correctable and generally limited to the Athletics/UIL office. COMMUNICATION/INTERACTIONS -Regular interaction with coaches, campus staff, vendors, and department personnel to provide information, receive requests, and resolve basic issues. CUSTOMER RELATIONSHIPS -Follows through with customer inquiries, requests, and complaints.

Forwards difficult and non-routine inquiries or requests to appropriate level for resolution. WORKING/ENVIRONMENTAL CONDITIONS -Work is normally performed in a typical interior work environment which does not subject the employee to any hazardous or unpleasant elements.
