Job description

 The Administrative Assistant is responsible for providing a variety of administrative and general office services to support the CEO and Executive Assistant. This position is characterized by a high degree of confidentiality and independent actions required in the performance of daily duties as directed by the CEO and Executive Assistant.

RESPONSIBILITIES AND DUTIES:

Typical responsibilities and duties of the Administrative Assistant position include, but are not limited to:

  • Maintains schedule for C-Suite.
  • Supports C-Suite with administrative tasks, meetings and projects.
  • Plans meetings and takes detailed minutes, producing documents by transcribing, formatting,, editing, retrieving, copying and transmitting text and data, correspondence and proposals as directed.
  • Maintains and protects operations by keeping confidentiality of the corporation’s sensitive issues.
  • Maintains Administrative and corporate files, both electronic and paper.
  • Manages and orders supplies for the department following internal procedures.
  • Open and routes executive correspondence and other mail.
  • Responsible for the Administration Office corporate credit card.
  • Assists in the supervision of the operations and maintenances of administrative copies and machines.
  • Assists in the training of other administrative assistants as directed.
  • Keeps equipment operational by following instructions and established procedures.
  • Secures information by completing database backups.
  • Provides historical reference and reports by utilizing and retrieving systems.
  • Manage administrative duties such as filing, typing, copying, binding, scanning etc.
  • Files and retrieves corporate documents, records, and reports.
  • Handles sensitive information in a confidential manner subject to NDA’s.
  • Coordinates executive office policies and procedures.
  • Assists in arranging and coordinating meetings and events.
  • Greets and assists visitors to the executive office.
  • Assists Executive Assistant with projects as needed.
  • Other duties as assigned.

MINIMUM QUALIFICATIONS:

High school diploma or GED required; bachelor’s degree in business administration, healthcare administration, office administration, or a related field from an accredited college or university. Three years’ administrative experience.  Strong computer skills (Outlook, Microsoft Word, Excel). Computer Competency Certificate.  Ability to perform basic keyboarding at 45 wpm.  Knowledge of English grammar, spelling and punctuation. Must be able to handle confidential information. Ability to follow oral and written instructions with minimal supervision; communicate effectively; interact diplomatically with people from varying cultural, ethnic, social and economic backgrounds; work with short timelines and respond quickly and effectively to demands of the position; operate a variety of office equipment; perform routine mathematical computations; work occasional overtime.

ESSENTIAL FUNCTIONS

Able to stand, walk on even surface, bend, sit, squat, reach, pull, carry 15 lbs.  Must be able to type.  Must feel comfortable interacting with the public.  Must be able to operate computer and business programs.  Must be able to read handwritten documents and make handwritten document entries.  Must be able to multi-task in a sometimes-stressful environment.

Universal Requirements:

Pre-employment requirements include I-9, positive background and reference check results, complete application, new hire orientation, drug screening and completion of employee health screening.
