Job description

Demonstrate professionalism and tact in answering incoming telephone calls and directing to the appropriate Facilities Sections (FS) members. Assist FS analysts over the telephone when they are in the field and need information. Served as receptionist for Facilities Section. Provide assistance to visitors, vendors, and/or stakeholders, and escort as appropriate. Update and distribute FS internal telephone roster. Maintain all FS bulletin boards. Reviews, processes, routes and messengers incoming and outgoing mail and interoffice correspondence to the appropriate members for action. Ensure time-sensitive mail is reviewed and routed to the addressee or the manager of the addressee without delay. Serves as the section's Procurement-Card Coordinator; prepares office supply and equipment orders; monitors office supply and equipment inventories; and reconciles purchases in the Financial Information System for California (Fi$Cal). Maintain office equipment (copier, fax machine, other equipment). Prepare and submit requisition requests. Organize, collect, and input data from various outlets for specialized programs within FS. Process and track all invoices.
