Job Description

The Coordinator, Communications will handle administrative duties and assist in supporting the series publicity team on day-to-day activities, as well as supporting the SVP of Communications for the Universal Studio Group division.

Responsibilities:

  • Function as administrative liaison to departmental staff, external vendors, and consultants
  • Answer telephones and perform administrative duties, such as calendar scheduling, booking travel, drafting itineraries, processing invoices, preparing expense reports, reconciling P-cards, among others
  • Maintain/update press contact database and additional internal lists
  • Prepare internal and external distributions and correspondence
  • Maintain/update our press site, Media Village
  • Help with the onboarding process for any new members of the Communications team
  • Assist with talent relations needs including booking travel, booking hair/make-up, drafting itineraries, internal and external gifting, among others
  • Maintain standards of strict confidentiality with respect to all matters and documents
  • Maintain series team budget tracker
  • Assist publicists with tracking press coverage and maintaining show press reports
  • Maintain series team status document
  • Assist publicists with show sheets including updating talent information along with their representatives
  • Work and facilitate press events including semi-annual press tours, award shows, specials, and events
  • Develop and maintain positive relationships with talent, producers, public relations agencies and representatives, agents, managers, production staff, and media and programming executives to ensure maximum positive coverage for Universal Studio Group programming
Qualifications

Basic Requirements:

  • 1+ years of public relations experience, including internships 
  • Working knowledge of Microsoft Office (i.e. Word, Excel, PowerPoint, Outlook)

Additional Requirements:

  • Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of four days per week.
