Job description

As a Turnkey Project Coordinator for Daikin TMI, this position works closely with our TMI Accounting Team, Equipment Inside Sales Team and TMI Field Project Manager(s), responsible for initial project booking, routine project documentation, procurement, subcontract procurement, job costing, job progress meetings, customer invoicing, and administrative closeout of each project.

May include:


• You will operate as the administrative hub of the Turnkey project team and will be responsible for overseeing projects from start to finish, managing essential client relationships and being the voice of the TK Contracting team
• Confidently communicate with all project team members including, but not limited to the Client, Architect, Engineer, Subcontractors, Project Managers and Field Personnel to coordinate and communicate project needs and requirements
• Coordinate with project team members for accurate and timely recording of project costs, subcontracts, including timesheets, forecasting assistance, vendor invoices, utilizing project reports, etc.
• Prepares all notices to owners, certificates of insurance, certified payroll, P/P bonding and AIA billings for projects with oversight from Turnkey Supervisor
• Facilitating, tracking and documenting of all Change Orders requests to ensure that all parties are informed of the impacts on schedule, budget and obtain client approval documentation for all Change Orders
• Manage procurement processes per project requirements. With guidance from Project Manager, handle material ordering/tracking, issue purchase orders and subcontracts to qualified vendor
• Coordinate monthly customer invoicing process per customer requirements and Project Manager direction to ensure timely and accurate billing

• Meeting with project team members to identify and resolve issues
• Coordinating the development of user manuals, training materials, and other documents as needed to enable successful implementation and turnover of the process or system to the clients.

  • Ability to communicate clearly and professionally, via written, verbal and by way of phone calls and electronically
    such as through email

  • Ability to perform exceptionally while working in a fast- paced, multi-task environment
  • Knowledge of and proficiency with electronic and information systems - required
  • Strong keyboarding skills, knowledge of computer software (preferably with Windows based – MS Office – Excel, Word, PowerPoint, and Outlook – Ability to use Email/scheduling, creating, and updating spreadsheets

Experience:

  • 1 – 3 years of project coordinator experience preferably within related industry
  • Expertise to include HVAC certification and technical application is preferred

Education/Certification:

  • High School Diploma or GED Equivalent required
  • Bachelor’s Degree or equivalent experience in business or marketing preferred but not required.
