SUMMARY:
The Submittal Coordinator is responsible for organizing, tracking, and processing all construction project submittals and related documentation in accordance with project specifications and schedules. This role ensures timely submission, review, and return of submittals between the general contractor, subcontractors, suppliers, architects, and owners. The Submittal Coordinator plays a critical role in document control and helps maintain compliance with contract requirements.
Our search is currently limited to qualified candidates living within the Hampton Roads commuting area.
ESSENTIAL FUNCTIONS / MAJOR RESPONSIBILITIES:
  • Responsible for full project submittal ownership including, but not limited to:
  • Upon contract award, create a complete submittal log for each project, per the project specifications and contract documents.
  • Preparation and Submission of GC's Division 1 Submittals as required, to include Accident Prevention Plans, Quality Control Plans, Emergency Action Plans, etc.
  • Receive, log, and track incoming submittals (e.g., shop drawings, material data, samples, etc.) from subcontractors and suppliers.
  • Review submittals for accuracy, completeness, and adherence to project specifications prior to forwarding for approval.
  • Distribute submittals to appropriate architects, engineers, and consultants for review.
  • Maintain submittal logs and ensure timely return of reviewed documents.
  • Upload, organize, and manage documents in the project management software or on the server (e.g., Oracle Submittal Exchange, etc.).
  • Communicate with project teams, subcontractors, and vendors to identify, address, and resolve submittal discrepancies or delays.
  • Assist in the preparation and submission of Requests for Information (RFIs), as needed.
  • Support closeout documentation efforts including warranties, O&M manuals, and as-builts.
  • Ensure document control processes are followed and that all documentation is archived appropriately.
  • Provide administrative support to project managers and engineers as required.
  • Foster and cultivate a team culture that aligns with company mission and values.
  • Must reside within commuting distance of our main office in Virginia Beach, VA.
  • This is an in-person, on-site position.

POSITION SPECIFIC QUALIFICATIONS & EXPERIENCE
  • High school diploma or equivalent required; associate degree or technical certification preferred.
  • Prior experience in construction administration or document control strongly preferred.
  • Familiarity with construction submittals, RFIs, and project documentation processes.
  • Blueprint Reading
  • Proficiency in Microsoft Office Suite (especially Excel and Outlook).
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers, subcontractors, or employees of the organization.
  • Must be 18 years of age.
  • Must be punctual and reliable.
  • Must be organized and have an eye for detail.

  • Ability to lift 20-50 lbs. at times (e.g., for project plans, project binders, file boxes, or material samples).
  • May require occasional walking or standing during jobsite visits.
  • May occasionally climb stairs, bend, or reach file storage areas.
  • This position may involve visits to a construction site where duties will be performed both indoors and outdoors.
  • Overtime may be required from time to time to meet project deadlines.
  • Dexterity of hands and fingers.

SALARY:
  • Range: $50,000 - $70,000/year
  • Negotiable - depending on experience.
  • Paid Weekly on Fridays (Mon thru Sun Work Week) w/ paystubs emailed.

  • Health, Dental & Vision Insurance - Eligible after 30 Days, Enrolled on 1st of month - 50% of employee rate paid for employee for Health & Dental only.
  • 401(k) - w/ employer match up to 3% of annual income after (1) year of employment.
  • Paid Time Off (8 Days) - New Year, Memorial Day, Independence Day, Labor Day, Thanksgiving, & Christmas + 2 additional days, usually utilized at Christmas and Thanksgiving
  • Earned Leave (Vacation/Sick) - 80 Total Hours Accrued Annually
  • Vacation (24 hours annually, accrued at 0.47 hours a week) - never expires, but caps at 24 hours.
  • Sick (up to 56 hours annually, accrued at 1 hour of paid sick leave for every 30 hours worked) - never expires, but caps at 56 hours.
  • Voluntary supplemental insurance options are available to employees at their own expense.
  • Voluntary life insurance is available to employees at their own expense.
