REQUIREMENTS:         

  • Fingerprint/background check required
  • CPR and First Aid certifications required
  • High school diploma or GED required; associate's or bachelor's degree in office management, education, or a related field preferred.
  • Minimum of 2 years of administrative experience, preferably in a school setting.
  • Ability to work both independently and collaboratively within a team.

JOB DESCRIPTION: The following statements of essential functions and responsibilities are intended to describe the general nature and level of work being performed by individuals assigned to this position. Actual duties and responsibilities may vary depending on building assignment and other factors determined with supervisor and/or building principal.

Registrar Responsibilities

  • Process new student enrollments and withdrawals in accordance with district procedures.
  • Verify and collect required enrollment documentation, including proof of residency, immunization records, transcripts, custody documentation, and other required records.
  • Request, receive, and upload academic and student records from previous schools.
  • Maintain cumulative student records in compliance with FERPA and district policy.
  • Ensure accurate entry and maintenance of student demographic, enrollment, and related information in PowerSchool.
  • Maintain confidentiality, accuracy, and security of all student records.
  • Support registration and enrollment activities throughout the school year.
  • Respond to parent/guardian questions regarding registration, enrollment, withdrawals, and student records.
  • Coordinate the transfer of records for students withdrawing or transitioning to another school.
  • Assist staff and administration with student-record requests and enrollment information as appropriate.

Attendance Responsibilities

  • Maintain accurate daily student attendance records, including absences, tardies, and early dismissals.
  • Enter and update attendance information in PowerSchool.
  • Contact parents/guardians to verify student absences and obtain appropriate documentation.
  • Communicate with parents/guardians regarding attendance questions, absences, tardies, and attendance procedures.
  • Collaborate with teachers and administrators to ensure accurate attendance reporting and documentation.
  • Maintain documentation for excused absences, including medical documentation and parent/guardian communication.
  • Respond to parent/guardian questions regarding attendance procedures and expectations.
  • Manage student check-in and check-out procedures and ensure early dismissals are properly documented.
  • Prepare regular attendance reports for administration and district personnel as requested.
  • Monitor attendance data for patterns or concerns and communicate relevant information to administration.
  • Maintain attendance records in accordance with district and state requirements.
  • Assist with the preparation and distribution of attendance-related communication and materials.
  • When a student becomes ill or an emergency occurs, assist with contacting parents/guardians and coordinating student pick-up.

Role Clarification: Attendance responsibilities do not include truancy intervention, truancy case management, truancy meetings, or formal truancy processes.

Secretary to the Athletic Director Responsibilities

  • Provide administrative and clerical support to the Athletic Director and MSMS athletic programs.
  • Maintain accurate athletic schedules, rosters, team information, and program records using Bound, Arbiter, and other established systems.
  • Assist with athletic registration, required documentation, and student-athlete clearance for participation.
  • Support the Athletic Director with academic and attendance eligibility processes, including preparing information and maintaining appropriate records.
  • Assist with communication to coaches, students, and families regarding schedules, registration, eligibility, transportation, and other athletic information.
  • Assist with scheduling and event logistics, including transportation, facilities, officials, schedule changes, and cancellations.
  • Maintain athletic files and documentation and assist with seasonal and end-of-season administrative needs.
  • Provide additional administrative support necessary for the efficient operation of MSMS Athletics.

Role Clarification: This role does not include athletic event supervision, coaching responsibilities, or decisions related to team placement, playing time, discipline, or other responsibilities assigned to coaches or the Athletic Director.
