Job description

Position Summary

The Restoration Project Manager is responsible for managing restoration and reconstruction projects from initial loss through completion. This role oversees project planning, scheduling, budgeting, customer communication, subcontractor coordination, and quality control to ensure projects are completed safely, on time, within budget, and to company standards. Strong Xactimate experience is required, as the Project Manager will be responsible for reviewing, creating, and managing estimates, supplements, and insurance-related documentation.

Key Responsibilities

Project Management

  • Manage water, fire, mold, storm, and reconstruction projects from start to finish.
  • Develop project scopes, schedules, budgets, and work plans.
  • Coordinate labor, materials, equipment, and subcontractors.
  • Conduct site inspections and monitor project progress.
  • Ensure projects meet quality standards, timelines, and profitability goals.
  • Manage project closeout, punch lists, and customer satisfaction.

Estimating & Insurance Coordination

  • Create, review, and update estimates using Xactimate.
  • Write reconstruction estimates and supplements for insurance carriers.
  • Review insurance scopes and identify discrepancies or missed line items.
  • Negotiate supplements and change orders with adjusters and carriers.
  • Maintain accurate documentation, photos, and project records.
  • Ensure estimates reflect current market pricing and company standards.

Customer & Client Relations

  • Serve as the primary point of contact for homeowners, commercial clients, insurance adjusters, and property managers.
  • Provide regular project updates and maintain strong customer relationships.
  • Resolve project concerns and ensure a positive customer experience.
  • Conduct final walkthroughs and obtain completion approvals.

Financial & Operational Oversight

  • Monitor project budgets, costs, and profitability.
  • Approve vendor and subcontractor invoices.
  • Track change orders and supplemental revenue opportunities.
  • Support collections and project billing processes.
  • Maintain project gross margin targets.

Team Leadership

  • Supervise field crews, subcontractors, and vendors.
  • Assign workloads and monitor productivity.
  • Train and mentor team members.
  • Promote safety and compliance with company policies.

Required Qualifications

  • Minimum 3 years of restoration project management experience.
  • Advanced proficiency in Xactimate (required).
  • Proven experience writing and managing restoration and reconstruction estimates.
  • Strong understanding of insurance claims, supplements, and carrier guidelines.
  • Experience managing residential and commercial restoration projects.
  • Excellent communication, negotiation, and customer service skills.
  • Strong organizational and problem-solving abilities.
  • Valid driver's license and reliable transportation.

Preferred Qualifications

  • IICRC Certifications (WRT, ASD, AMRT, FSRT, OCT, etc.).
  • Experience with DASH, Encircle, Matterport, CompanyCam, or similar restoration software.
  • OSHA 10 or OSHA 30 certification.
  • Experience with large-loss and commercial restoration projects.
