Swoop Technologies Executive Assistant Position

Swoop Technologies has a mission to organize and make accessible the world's military and critical infrastructure. We are building a distributed operating system, SwoopOS, that decomposes the world's equipment into a distributed robotic embodiment upon which a new generation of distributed systems, autonomous systems, and agentic AI can be built and deployed using our SDK, Valhalla, and operated via our browser, Surf. Imagine the world's equipment - consisting of the electrical grid, communications architectures, manufacturing facilities, and militaries as a trapped supply of inputs possessing the potential to ensure Western military advantage, sovereign control of economically competitive manufacturing capacity, or the creation of a grid that fosters energy dominance. Swoop is liberating these trapped assets, allowing them to contribute to the world's future as a series of building blocks to be combined at the speed of software, limited by only the hard constraints of physics and the soft constraints of safety. That is what Swoop is building. Not in the data center or cloud or edge on-premise computing node. In the physical world. This is a hybrid position that requires someone based in the Washington, DC metro area who can work in-office 3+ days per week.

As an Executive Assistant to Swoop's Leadership Team, you'll be at the center of our business and engineering operations. You thrive in the fast-paced environment of a startup, adapt quickly as priorities shift, and anticipate what leaders need before they ask. Your exceptional scheduling skills, sharp eye for process improvements, and follow-through on tasks elevate the entire organization. Your professionalism, organizational skills, dependability, analytical mindset, and communication all help Swoop do great things.

What You'll Do:
  • Perform an array of administrative tasks (manage calendars, coordination of travel, meetings, speaking engagements, event planning)
  • Serve as a liaison across Swoop's Leadership Team, internal Swoopers, and external parties
  • Report directly to the C-suite, providing dedicated support across multiple executives
  • Prepare materials for meetings and presentations
  • Attend meetings, capture critical information, and ensure action items/follow ups are completed
  • Prepare daily briefings and any other information leaders need for the day's activities
  • Identify and promote process improvements and new operational strategies
  • Compose internal and external communications
You Should Have:
  • Experience as an executive assistant, or in a role requiring project management and a proven track record of delivering on complex tasks
  • Excellent organizational skills and reliable attention to detail
  • A passion for start-ups or organizations going through rapid growth stages
  • Strong multitasking, time management, and prioritization skills
  • Excellent written and verbal communication
  • A resourceful, self-motivated, dependable approach, with a willingness to collaborate across the whole company
