Job description

Summary/Objective

The Assistant Shuttle Manager supports the Site Operations Manager in the daily oversight of shuttle and parking operations at a high-visibility location for a nationwide transportation and parking management company. This role ensures smooth operational flow by assisting with staff supervision, training, scheduling, safety compliance, equipment upkeep, and customer service. The Assistant Shuttle Manager helps maintain operational standards, supports record-keeping and reporting, and serves as an on-site leadership presence to ensure exceptional service for veterans, visitors, and facility personnel. This position requires adaptability, strong communication skills, and the ability to support multiple operational functions simultaneously.

Essential Duties

  • Support the Site Operations Manager in recruiting, selecting, training, and orienting new employees.

  • Reinforce a safe, secure, and compliant work environment by monitoring adherence to company policies, safety procedures, and regulatory requirements.

  • Assist in communicating job expectations and monitoring staff performance, including coaching, counseling, and participating in corrective action processes when necessary.

  • Contribute to building staff schedules, adjusting coverage, and helping maintain labor within budget requirements.

  • Assist with maintaining quality service standards, responding to customer concerns, and identifying opportunities for service improvement.

  • Support administrative tasks-including logs, incident reports, attendance records, and shift documentation.

  • Partner with the manager to ensure equipment is maintained, secured, stocked, and operational.

  • Communicate daily with the manager, leads, and team members to maintain operational consistency.

  • Coordinate with the Contract Manager on reporting requirements, performance expectations, and escalation of operational issues.

  • Assist with onboarding and ongoing training for shuttle drivers and parking staff.

  • Serve as acting manager when designated or when the Site Operations Manager is unavailable.

Operational Responsibilities

  • Assist in daily supervision of shuttle and parking operations.

  • Support the organization and reconciliation of operational records, logs, and documentation.

  • Help oversee customer service, safety, property upkeep, and claims-related documentation.

  • Provide guidance and work direction to support personnel and attendants.

  • Assist in coordinating special events or temporary operational changes.

  • Support the preparation of daily and weekly volume, ridership, and operational reports.

  • Utilize office equipment, computers, fleet management tools, and scheduling systems.

  • Undertake special projects or operational assignments as designated by the manager.

  • Ensure consistent adherence to Parking Veterans' quality, customer service, and operational standards.

  • Perform other duties as assigned.

Transportation-Specific Responsibilities

  • Maintain accurate ridership and passenger logs.

  • Assist in managing preventive maintenance schedules and vehicle readiness.

  • Utilize fleet management software and hardware for reporting, tracking, and compliance.

  • Provide safe and courteous transportation as needed, including driving in varied conditions.

  • Follow designated routes and schedules while adhering to traffic regulations.

  • Complete all trip documentation and inspection reports.

  • Assist passengers during boarding and exiting procedures.

  • Properly operate and secure wheelchairs with company-approved restraint systems.

  • Conduct pre- and post-trip vehicle inspections and report defects or safety concerns.

  • Assist with fueling and checking vehicle fluids.

  • Provide route, schedule, and trip information to passengers.

  • Professionally communicate and assist diverse populations, including individuals with physical or mental disabilities.

General Qualifications
  • High school diploma or GED required.

  • Preferably at least 1 year of supervisory or lead experience in shuttle, transportation, or parking operations.

  • Associate degree or higher is a plus.

  • Basic understanding of property maintenance and operational upkeep.

  • Ability to work flexible shifts, including early mornings, nights, weekends, and holidays.

  • Ability to operate vehicles, including manual transmission (if required by the site).

  • Demonstrated leadership skills and the ability to direct and support staff.

  • Strong mathematical and analytical abilities.

  • Familiarity with record-keeping procedures and operational documentation.

  • Knowledge of parking or transportation laws, regulations, and local ordinances is preferred.
