The Transportation Manager will be responsible for managing the transportation department assuring and coordinating the safe and efficient transport of all PACE participants. Demonstrating the knowledge and skills necessary to participate in assessing, planning for, and providing transportation services with company policies and procedures. The Transportation Manager is required to have one year of experience working with the elderly.
Work Location: On the road in the Springfield, Oregon region (some infrequent overnight trips as required)
Key Tasks and Responsibilities
Staff Management & Training
  • Conduct driver performance evaluations annually or as needed.
  • Address and resolve personnel issues, including disciplinary actions, using appropriate documentation.

Scheduling & Coordination
  • Assist the Transportation Coordinator with daily scheduling and coordination.
  • Review transportation schedules for accuracy and efficiency.

Meetings & Communication
  • Participate in required PACE meetings, including Inter-Disciplinary Team (IDT), family meetings, staff meetings, training programs, and quality improvement meetings.
  • Establish and maintain positive relationships with participants, families, and PACE team members.
  • Address and resolve participant transportation concerns and grievances within required timelines.
  • Conduct service recovery calls as needed.

Fleet & Operations Management
  • Manage and maintain a fleet of lift vans, ADA-accessible minibuses, and ambulatory vehicles.
  • Maintain accurate transportation logs, fuel card records, vehicle maintenance logs, and mileage records.
  • Ensure all transportation staff stay updated on America West Transportation and PACE policies.

Compliance & Reporting
  • Ensure compliance with safety regulations and organizational policies.
  • Conduct quarterly safety and driver meetings to address issues and provide necessary retraining.
  • Submit and manage all monthly reports with daily updates for accuracy.
  • Oversee accurate data entry in the FileMaker system, including participant addresses, phone numbers, and notes.

Driving as Needed
  • May operate company vehicles when necessary due to staffing shortages or emergencies.

Collaboration with Senior Centers
  • Work with senior center staff to resolve transportation-related concerns as they arise.

Participation in Meetings
  • Attend additional staff meetings, in-service training, and quality improvement meetings beyond required PACE meetings as needed.

Process Improvement
  • Assist in developing transportation procedures and identifying opportunities for improved efficiency.
  • Participate in transportation-related strategic initiatives as assigned.

Qualifications
Education & Training
  • High school diploma required, college degree preferred.
  • Valid state driver's license or commercial driver's license.

Knowledge and Experience:
  • Able to speak conversational English (required).
  • One year of experience working with the elderly (required).
  • Experience in senior care or a related human services industry.
  • Extensive knowledge of city streets, neighborhoods, and traffic patterns.
  • Experience in vehicle scheduling and dispatching is a plus.
  • Previous supervisory or management experience preferred.

Core Competencies
  • Must be a self-starter.
  • Must be able to work unsupervised.
  • Must be able to manage multiple tasks and see them to completion in a timely manner.
  • Must possess good communication skills.
  • Must be computer literate and proficient with Word, Excel and database management software.

Working Conditions
  • Must be able to work weekends, holidays, and any shift as necessary.
  • Work hours: TBD, with varying shifts (occasional need for after-hour calls).
  • Might be required to drive vehicles as needed.
  • Must be able to travel out of town overnight when necessary.

Physical Requirements
  • Be able to push 50lbs and lift 150lbs minimum
  • Position requires working in a seated position while operating computer, keyboard, mouse, phones and printers and filing of documents
  • Position may require standing/walking for up to 4 hours.
