R & May Transportation is seeking a motivated, organized, and professional Administrative Assistant to join our team. This is more than a traditional office position — you will be an important part of the team responsible for keeping a fast-paced school transportation operation organized, responsive, and running smoothly.

The ideal candidate is a self-starter who takes initiative, communicates professionally, pays close attention to detail, and wants an opportunity to grow within the company. You will work closely with management and multiple departments while gaining hands-on experience in transportation operations, employee administration, compliance, scheduling, and general business management.

Responsibilities

As an Administrative Assistant, you will help support the day-to-day administrative and operational needs of the company. Responsibilities may include:

Answering and directing incoming phone calls and emails

Providing professional assistance to employees, school personnel, parents, vendors, and other callers

Maintaining organized employee, vehicle, route, and company records

Preparing letters, reports, spreadsheets, forms, and other business documents

Performing accurate data entry and maintaining internal databases and tracking systems

Assisting management with daily administrative and operational responsibilities

Assisting with employee onboarding and required documentation

Tracking employee licenses, certifications, medical documents, training requirements, and expiration dates

Following up with employees regarding missing or expiring documentation

Assisting with route information, scheduling, and transportation-related paperwork

Organizing, scanning, filing, and maintaining company documents

Communicating with drivers, aides, dispatchers, maintenance personnel, and management

Assisting with payroll, HR, compliance, and operational projects as needed

Maintaining confidentiality when handling employee, financial, and company information

Identifying administrative issues and taking initiative to help resolve them

Supporting additional projects and responsibilities as the company continues to grow

Qualifications

Education & Experience:

Bachelor's Degree preferred

Associate degree with relevant professional experience may also be considered

Previous administrative, office, business, or customer service experience preferred

Experience in transportation, education, logistics, HR, payroll, compliance, or a related industry is a plus

Recent college graduates with strong organizational and communication skills are encouraged to apply

Strong knowledge of Microsoft Excel, Word, Outlook, and Microsoft Office

Fluent in Spanish
