Job Title: Shipping Associate II

Location: : 1896 Lammers Pike, Batesville, IN 47006

Shift: 1st Shift: M – F 7AM-3:30PM

Description:

Summary:  

Coordinates internal and external shipping arrangements for Baxter International orders while complying with internal procedures, U.S. and foreign government regulations, and ensures timely shipments. Responsibilities include preparing customs documentation, coordinating with freight forwarders and carriers, and ensuring strict compliance with global trade regulations. This role requires managing the end-to-end supply chain while optimizing costs and troubleshooting transit delays.

Essential Duties and Responsibilities:

  • Picking, packing, shipping of international customer orders.
  • Cross-Border Documentation: Prepare and verify commercial invoices, certificates of origin, and customs declarations to avoid border delays and unexpected duties.
  • Carrier Coordination: Book and track international shipments via air, sea, or land freight. Communicate directly with freight forwarders to ensure on-time deliveries.
  • Order Processing: Oversee end-to-end order lifecycles—from order entry to shipment notifications—across multiple currencies and time zones.
  • Manages customer requested shipping and tracking information.
  • Ensure all USA and foreign customs Export/Import requirements are met, including United States Export Administration Regulations, determining Export Control Classification Numbers (ECCN) for Baxter Products.
  • Responsible for reviewing customer shipping Instructions and following them to ensure customer satisfaction. 
  • Prepare all Exports Documentation for overseas orders required by USA and foreign freight companies
  • Creating and modifying customer invoices daily using Adobe Acrobat or Kofax software.
  • Identify and resolve issues with carriers. 
  • Escalate issues that cannot be resolved themselves to warehouse supervisor.

Core Competencies

  • Global Trade Knowledge: Familiarity with Incoterms (e.g., FOB, CIF, DDP), Harmonized System (HS) codes, and export/import regulations.
  • Systems Proficiency: Knowledge of Windows, MS Word, Excel, Outlook, JD Edwards systems, Adobe Acrobat, Kofax, FedEx Ship manager, and UPS WorldShip.
  • Problem Solving: Ability to quickly troubleshoot shipping delays, port holds, and supply chain disruptions.
  • Communication: Multilingual skills and ability to coordinate clearly with cross-functional teams, overseas vendors, and international clients.

Education, Experience and Qualifications:

  • Excellent interpersonal communication skills with the ability to interact with freight companies and internal operation department personnel.  Ability to comprehend and clearly communicate via email with customers, freight companies and internal individuals, all which use English as a second language.
  • Sound judgment and strong analytical skills.
  • Ability to read and understand legal terms and conditions.
  • Proven ability to multi-task in a fast paced, high pressure, changing environment, with minimal day to day supervision.
  • Knowledge of Windows, MS Word, Excel, Outlook, JD Edwards systems, Adobe Acrobat, Kofax, FedEx Ship manager, and UPS WorldShip.
  • Preferred Certification but not required; Certified Export Specialist (CES) Certification Program; International Air Transport Association Dangerous Goods Regulations.
  • Strong willingness to stay current on United States Export Administration Regulations.
  • Knowledge of Department of Transportation regulations.
