Job description

You'll help elevate how teams learn, execute, and improve by creating modern process content and knowledge assets. As a Process Documentation & AI Enablement Associate in Commercial Real Estate, you will support business transformation, process improvement, and operational excellence initiatives through the creation and maintenance of process flow diagrams (PFDs), procedures, job aids, and knowledge management content. You will partner with business stakeholders, subject matter experts, and project teams to document end-to-end processes, improve user adoption, and identify opportunities to leverage Artificial Intelligence (AI) to enhance efficiency, quality, and employee experience.

Job Responsibilities

  • Analyze current-state and future-state business processes and document workflows.
  • Create and maintain end-to-end Process Flow Diagrams (PFDs), decision trees, and workflow maps in Microsoft Visio and/or Lucidchart.
  • Ensure documentation aligns to organizational standards, governance requirements, and control expectations.
  • Collaborate with stakeholders to validate process flows and identify gaps, risks, and improvement opportunities.
  • Develop and publish procedures, job aids, quick reference guides, and playbooks within Confluence.
  • Design documentation that is clear, concise, visually engaging, and easily consumable by operational teams.
  • Maintain knowledge repositories and keep content current as processes, controls, or requirements change.
  • Support change management and training efforts through user-facing documentation and enablement materials.
  • Identify opportunities to integrate approved AI capabilities into documentation, training, and operational workflows.
  • Utilize approved AI tools to accelerate content creation, process analysis, workflow optimization, and knowledge management.
  • Develop and maintain prompt libraries, AI-assisted templates, and documentation best practices.

Required Qualifications, Capabilities and Skills

  • 3+ years of experience in process documentation, technical writing, business analysis, operations, or related disciplines.
  • Advanced proficiency in Microsoft Visio and Word.
  • Experience with creating and managing content within Confluence.
  • Experience documenting operational workflows, controls, or regulatory processes.
  • Experience using Microsoft Copilot, LLM Suite, or other approved AI tools to improve productivity and documentation quality. 
  • Strong written and verbal communication skills.
  • Demonstrated ability to simplify complex concepts into clear procedural documentation.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Proficiency in Microsoft Office Suite, including PowerPoint and Excel.

Preferred Qualifications, Capabilities and Skills

  • Experience within Commercial Real Estate, Operations, Risk, Compliance, or Technology organizations.
  • Knowledge of change management methodologies.
  • Experience supporting digital transformation, automation, or process simplification initiatives.
