Responsibilities:
  • Coordinate the execution of strategic initiatives to ensure alignment with company objectives.
  • Act as a strategic advisor to the CEO, providing insights, proposing solutions, and assisting with decision-making.
  • Plan and direct all administrative, financial, and operational activities for the organization's CEO.
  • Oversee and streamline agency operations and procedures.
  • Prepare and compile documents for board meetings, leadership meetings, and other executive needs.
  • Manage a multidisciplinary team, fostering a culture of collaboration and high performance.
  • Represent the CEO in meetings and in communications with internal and external stakeholders.

Qualifications & Skills:
  • Bachelor's degree or foreign equivalent in Business Administration, Communications, Marketing, or related field, plus two (2) years of experience as an Executive Assistant or related occupation.
  • Office productivity tools: Confluence, Jira, Miro, Slack, and Microsoft Teams; Microsoft Office Suite (Outlook, Excel, and PowerPoint) and Google Workspace (Docs, Sheets, Calendar, and Slides) to manage executive calendars, prepare reports, and coordinate documentation and presentations.
  • Customer Relationship Management (CRM) and Project Management Platforms: Salesforce and project management platforms (Asana and Trello) to support cross functional communication and track internal initiatives.
  • Travel and expense management systems: managing complex travel schedules and processing expense reimbursements through SAP Concur and Expensify, ensuring compliance with company policy and timely submission of documentation.
  • Corporate event planning and logistics: coordinating executive meetings, offsites, and company-wide events, including scheduling, vendor relations, budgeting, and execution logistics using Excel and Google Sheets.
  • Document and contract workflow systems: overseeing the execution and management of sensitive internal documents and contracts using tools like DocuSign, Dropbox, and SharePoint, ensuring version control, secure storage, and timely follow-ups.
  • Operational reporting and data support: compiling internal reports, project trackers, and business summaries in Excel and Google Sheets to support decision-making by senior leadership
