Job description

Join the MD Anderson Cancer Center Laboratory Medicine Administration team and play a vital role in supporting the next generation of laboratory medicine physicians and trainees. This position is ideal for a highly organized program coordinator who enjoys managing complex educational programs, coordinating multiple stakeholders, and ensuring a seamless experience for fellows, rotating trainees, observers, and medical students within a nationally recognized academic medical center. The Program Coordinator serves as the primary administrative coordinator for fellowship, rotator, observer, and medical student programs within the Department of Laboratory Medicine.

This role oversees the full lifecycle of trainee programs, including recruitment, onboarding, scheduling, evaluations, accreditation support, graduation activities, and ongoing program administration. Responsibilities include coordinating trainee rotation and call schedules, managing evaluations, maintaining trainee records, supporting duty hour compliance, and ensuring adherence to institutional and accrediting body requirements, including ACGME and other regulatory standards. The ideal candidate will have experience coordinating academic, healthcare, graduate medical education, residency, fellowship, or professional training programs.

Candidates should be comfortable managing multiple deadlines, maintaining detailed records, coordinating complex schedules, and serving as a primary point of contact for trainees, faculty, program directors, and institutional partners. Experience working with trainee management systems, educational programs, onboarding processes, or accreditation requirements is highly desirable. In addition to supporting fellowship and trainee programs, this role serves as a key resource for trainees by coordinating educational resources, conference participation, board preparation support, and budget tracking.

The position also supports medical student programs through onboarding coordination, compliance monitoring, timekeeping activities, and collaboration with faculty and institutional stakeholders. Additional responsibilities include preparing agendas, presentations, and meeting minutes; coordinating Program Evaluation Committee and Clinical Competency Committee activities; managing trainee rosters and records; processing training verifications; coordinating events and educational activities; supporting purchasing and procurement activities; and providing administrative support to Program Directors and faculty leadership. The hybrid schedule for this position is 3 days remote and 2 days onsite Fellowship/Rotator/Observer Programs Coordinates all aspects of Fellowship, Rotator and Observer recruitment, selection, onboarding and graduation processes. Responsible for the creation, dissemination and monitoring of trainee rotation and call schedules as well as fellow, faculty and program evaluations.

Keeps abreast with ACGME, ASHI, COMACC and Institutional program requirements including updating the Program Manual and the respective accrediting agency databases. Prepares and submits Program Letter of Agreement worksheet to Legal Dept. Responds to email and telephone communications in a timely manner.

Manages duty hour reports and supports reporting compliance. Assists with preparation and scheduling of didactic lectures and special events. Acts as timekeeper using the KRONOS system for accurate tracking of trainee leave.

Maintains accurate fellows' assignment schedule in departmental on-call schedules and New Innovations. Works with AVA to obtain letters of completion and end of training diplomas. Other duties assigned.

Trainee Resource Coordinator Provides guidance and functions as resource to trainees regarding program and institutional allowances for books, conference participation, and board readiness resources. Monitors and tracks budgeted fund allotments to ensure compliance with institutional, divisional, and departmental fiscal guidelines. Other duties assigned.

Medical Students Program Acts as liaison with Research Support Office, faculty, and office manager for space coordination, recruitment, onboarding, and timekeeping needs for medical students within the Department of Laboratory Medicine. Ensures compliance with institutional requirements for medical student programs. Administrative Serves as coordinating member of the Program Evaluation Committee and Clinical Competency Committee.

Drafts presentations, meeting minutes, agendas for program meetings. Processes fellows' verification of training. Coordinates, tracks, and maintains rosters of rotating trainees in New Innovations and provides routine updates to office manager and directors.

Represents program at GME support staff meetings. Prepare and process purchase requisitions. Coordinates venue procurement and catering.

Provides administrative coordination for Program Directors and participating core faculty. Other duties assigned. EDUCATION Required: Bachelor's Degree Business Administration or related field.

Preferred: Master's Degree WORK EXPERIENCE Required: 3 years Project/program coordination experience or 1 year required experience with Master's degree. May substitute required education degree with additional years of equivalent experience on a one to one basis. Preferred: 5 years Administrative experience to include two years in a supervisory or managerial capacity in a patient care environment.

Preferred: Experience working with visa and educational appointments in ACGME programs.
