POSITION SUMMARY:

The Investment Operations Specialist serves as an essential member of our client's investment management team, supporting daily operations and client service. Reporting to senior operations and compliance leaders, the role is responsible for managing critical tasks, including cash and trade reconciliation, trade settlement, client communications, and data entry, ensuring accuracy and timeliness in all processes.


RESPONSIBILITIES:

  • Foster strong relationships with clients by delivering timely, clear communication and managing expectations effectively.
  • Support portfolio managers and traders by communicating client instructions such as cash requests, trade restrictions, and account updates, and maintaining up-to-date account information in the portfolio manager systems.
  • Collaborate closely with operations, compliance, and trading teams to ensure smooth workflow and adherence to internal controls and policies.
  • Perform trade reconciliation and settlement processes, ensuring all trades are accurately booked and reconciled by the end of each business day.
  • Assist with the preparation and submission of RFPs (Requests for Proposals) and other new business documentation to support firm growth initiatives.
  • Support team members by sharing workload and assisting with ad hoc projects to enhance overall operational efficiency.
  • Maintain and update client databases, ensuring data integrity and compliance with regulatory requirements.


EDUCATION & EXPERIENCE:

  • 5+ years of experience in client service or operations within financial services, asset management, or investment management firms supporting high-net-worth or institutional clients.
  • Strong organizational skills with the ability to manage trade reconciliation, settlement, and daily account maintenance accurately and efficiently.
  • Demonstrated ability to effectively manage multiple priorities simultaneously in a fast-paced, deadline-driven environment.
  • Strong client service experience, with a preference for candidates who have supported or produced client reporting and communications.
  • Familiarity with portfolio management software and financial systems, with the ability to quickly learn new platforms and processes.
  • Excellent verbal communication and interpersonal skills to confidently interact with clients, portfolio managers, and internal teams.
  • Commitment to maintaining high standards of accuracy, timeliness, and confidentiality in all aspects of portfolio administration.
  • Proficiency in Microsoft Office applications.
  • Proficiency in Ridgeline or portfolio management software is a plus.
