Job description

About the Job

You are organized, detail-oriented, and thrive when you're the person keeping everything running behind the scenes. As an Office Administrator, you will provide broad operational and administrative support across project coordination, compliance, business licensing, and job tracking; ensuring the team can execute at a high level without getting bogged down in administrative complexity. This is a high-impact, high-variety role for someone who takes ownership, moves fast, and gets things done.

Please note: This role is fully on-site at our El Dorado Hills, CA location. This is not a hybrid or remote position.

What You'll Be Doing

  • Process and manage California certified payroll documentation in compliance with prevailing wage requirements.
  • Support project coordination activities including scheduling, documentation, and communication between field and operations teams.
  • Prepare and submit contractor prequalification packages and assist with project review prior to kickoff.
  • Manage active business licenses across jurisdictions, tracking renewal deadlines and coordinating submissions.
  • Maintain accurate job tracking records and provide visibility into project status and deliverables for leadership.

What We're Looking for

  • Associate's or Bachelor's degree preferred but not required.
  • Experience with California certified payroll or prevailing wage compliance strongly preferred.

What You'll Need for Success

  • Strong organizational skills and attention to detail with the ability to manage multiple priorities at once.
  • Proficiency in Microsoft Office Suite; experience with project management or job tracking software a plus.
  • Background in construction, mechanical services, or a related trade industry is a plus.
  • Clear written and verbal communication skills.
  • Self-starter who takes ownership and works well both independently and as part of a team.

If you feel you don't have the experience listed above, but still think you are qualified for the job, we encourage you to apply for consideration or share this opportunity with your network.
