This role supports the Trading team by accurately entering and managing trade transactions, coordinating information across Operations, Contracts, Finance, and Legal, and assisting with key commercial documents. You will help review contracts, support customer service needs, conduct basic market research, follow up on payments, and ensure deals are aligned and properly reflected in the ERP systemโ€”contributing to smooth execution and reliable reporting across the trade lifecycle.


Key Responsibilities

โ€ข Act as a key liaison between the Trading team and internal departments including Operations, Contracts, Finance, and Legal.

โ€ข Accurately capture trade transactions (both purchases and sales) in the ERP system, ensuring alignment with negotiated commercial terms.

โ€ข Create and manage purchase and sales orders, maintaining consistency with contract terms and company policies.

โ€ข Assist Traders in preparing commercial documents such as client offers, freight quote requests, lot sheets, and budgets.

โ€ข Manage the end-to-end deal entry process in the ERP, ensuring correct matching of purchases, sales, freight, and budget allocations.

โ€ข Collaborate with Traders and the Contracts Desk to draft and review customer sales and supply agreements.

โ€ข Partner with the Legal department to support risk management by reviewing trade contracts, identifying discrepancies, and mitigating potential exposures.

โ€ข Provide timely and accurate trade information to the Operations team.

โ€ข Coordinate with international Operations teams on matters such as inventory management, quality specifications, cash flow planning, shipment scheduling, vessel nominations, and contract alignment.

โ€ข Conduct market research on clients, commodities, supply sources, and industry trends to support trading strategies.

โ€ข Work with the Finance department and Traders to manage customer collections and monitor payment statuses.

โ€ข Support the financial and operational reconciliation of quarterly trade results, ensuring ERP data reflects actual trade performance.

โ€ข Assist Traders with customer service and post-sale support to maintain strong client relationships


Requirements:


โ€ข Bachelorโ€™s degree in business, supply chain management, logistics, or related field, or equivalent work experience required.

โ€ข Knowledge of trade and/or logistics preferred.

โ€ข Resourceful, organized, and strong attention to detail.

โ€ข Able to multi-task and work independently.

โ€ข Strong written and verbal communication skills.

โ€ข Spanish speaking is a plus.

โ€ข Excellent computer skills with knowledge of Outlook, Microsoft Word, Excel and PowerPoint.
