Position Summary

The Merchant Assistant supports the merchandising team in the execution of assortment, vendor, purchase order, and product data activities that enable accurate, timely, and profitable category execution. This role is responsible for maintaining item and style information, entering and tracking purchase orders, coordinating samples, supporting line review and business review preparation, and ensuring key details are accurate across merchandising systems.

Working closely with Merchants, Planning, Merch Operations, Marketing, Site Merchandising, Supply Chain, and vendor partners, the Merchant Assistant helps ensure product data, purchase orders, samples, launch details, pricing, and receipt timing are complete, accurate, and aligned to approved plans. This role requires strong attention to detail, follow-through, communication, and organizational skills to support a fast-paced specialty retail merchandising environment.

Duties and Responsibilities:

  • Item Setup & Data Maintenance:
  • Create and maintain article, style, SKU, and item records in PIM and related merchandising systems with complete and accurate product attribution.
  • Manage UPC/GTIN information, vendor style details, cost and retail inputs, DC pack configurations, and other required product data elements.
  • Ensure product data accuracy and consistency across PIM, ERP, planning, reporting, and downstream execution systems.
  • Purchase Order Entry, Tracking & Maintenance:
  • Enter purchase orders aligned to line review approvals, OTB, and Merchant direction, including cost, retail, ship windows, quantities, and supply chain details.
  • Monitor the PO lifecycle from creation through receipt, maintain weekly on-order reporting, and flag late shipments, partials, quantity variances, and receipt risks.
  • Process PO updates, including cost changes, ship-window revisions, quantity adjustments, cancellations, and revised receipt timing communication to Planning and Inventory partners.
  • Vendor Coordination & Sample Management:
  • Manage day-to-day vendor communications related to item setup, purchase orders, samples, shipment status, EDI onboarding, and required documentation.
  • Lead sample tracking and coordination for style outs, line reviews, marketing, product content, and execution activities.
  • Maintain vendor scorecard inputs and supporting details related to on-time ship, fill rate, compliance, product setup accuracy, and execution readiness.
  • Business Review & Line Review Support:
  • Prepare materials for Weekly and Monthly Business Reviews, including selling reports, on-order summaries, competitive insights, vendor updates, and category snapshots.
  • Assist in preparation for line reviews, pre-line meetings, and style outs by organizing line lists, product data, samples, pricing, vendor materials, and meeting recaps.
  • Compile business reporting and supporting analysis to help Merchants identify selling trends, inventory opportunities, receipt risks, and vendor follow-up needs.
  • Cross-Functional Execution & Launch Readiness:
  • Coordinate with Planning, Merch Operations, Marketing, Site Merchandising, Supply Chain, and Store Operations to support launch readiness, product flow, pricing, markdown setup, and product content accuracy.
  • Track key dates, outstanding actions, and execution dependencies to ensure new items, promotions, and category initiatives are completed on time.
  • Communicate updates, risks, and follow-up needs to Merchants and cross-functional partners to support accurate execution across stores and digital channels.
  • Market Awareness & Merchandising Support:
  • Support comp shopping, vendor research, product research, and store visit preparation to help identify assortment, pricing, and presentation opportunities.
  • Maintain competitive insights, product notes, sample feedback, and category observations for Merchant review and business planning.
  • Provide administrative and analytical support that helps the merchandising team deliver accurate assortments, timely receipts, and a strong specialty retail customer experience.

Qualifications and Skills Required:

  • 1-3+ years of retail merchandising, buying, merchandise operations, product data, planning, allocation, or related retail support experience within a multi-store, specialty retail, or omnichannel environment preferred.
  • Detail-oriented and highly accurate, with the ability to validate data, identify discrepancies, maintain clean records, and follow through on time-sensitive tasks.
  • Effective communication and follow-up skills, with the ability to manage day-to-day vendor contact and partner with Merchants, Planning, Merch Operations, Marketing, Site Merchandising, Supply Chain, and Store Operations.
  • Strong organizational and time management skills, with the ability to manage multiple deadlines, samples, reports, purchase orders, and data inputs in a fast-paced retail environment.
  • Proficiency in Microsoft Excel, reporting tools, and merchandising systems; experience with PIM, ERP, EDI, purchase order, planning, or business intelligence tools preferred.

Work Environment and Physical Requirements:

  • Monday - Friday onsite, based out of our Roswell, GA Store Support Center. Flexibility to work extended and varied hours as needed.
  • Must be able to stand and/or sit for extended periods of time as the job is completed primarily at a desk each day. Variable desk heights are offered so alternatively sitting and/or standing at the desk is optional.
