Supporting a Team of Financial Advisors | Touchstone Wealth

Touchstone Wealth is seeking a highly organized, proactive, and detail-oriented Financial Services Operations Coordinator to support our growing team of Financial Advisors. This individual will play a critical role in the day-to-day operational management of the practice, helping ensure a seamless client experience across insurance, investment, and ongoing service workflows.

This role is ideal for someone who thrives in a fast-paced, team-oriented environment, enjoys managing processes from start to finish, and takes pride in delivering exceptional client service.

Primary Responsibilities

Client Service & Relationship Support

  1. Serve as a primary contact for client service requests and follow-up items
  2. Communicate with clients regarding account paperwork, outstanding requirements, and next steps
  3. Coordinate client meetings, scheduling, confirmations, and reminders
  4. Maintain accurate and up-to-date client records within CRM and internal systems

Insurance Operations

  1. Manage insurance applications throughout the underwriting process from submission through policy delivery
  2. Complete insurance applications and related documentation once advisor information is provided
  3. Schedule client medical exams and coordinate outstanding underwriting requirements
  4. Communicate directly with clients, underwriting teams, and internal New Business Coordinators regarding case status and requirements
  5. Monitor pending cases and proactively follow through to completion

Investment & New Business Operations

  1. Prepare and process investment account paperwork
  2. Coordinate rollover calls and account transfer processes
  3. Monitor new account paperwork and processing

Operational & Compliance Support

  1. Maintain organized digital client files and documentation
  2. Upload and maintain required compliance documentation including client contact notes, supporting documents, and case activity
  3. Monitor advisor licensing and product training requirements
  4. Assist in maintaining operational consistency and workflow organization across the team

Team & Firm Support

  1. Collaborate closely with advisors and team members to support client experience and firm growth
  2. Participate in team meetings and process improvement discussions
  3. Assist with client events, workshops, and seminars as needed
