Summary

Under the administrative direction of the Customer Operations Supervisor, the Operations Specialist - Bilingual provides service to Tosoh Bioscience, Inc. customers including clinics, doctor's offices, hospitals, universities, and industrial facilities throughout the United States. This position utilizes in-depth knowledge of company products in order to receive and process customer inquiries and orders and maintain customer files. Candidates are required to be able to read, write, and speak Spanish.

Reporting Relationships

The Operations Specialist reports to the Customer Operations Supervisor. This position does not have any supervisory responsibilities.

Major Duties and Responsibilities

Receive and Process Customer Inquiries and Orders: 

  • Read, write, and fluently speak/interpret Spanish to English.

  • Answer customer inquiries concerning product availability, price, shipping, returns or other topics.

  • Enter customer orders received via phone, fax, or electronically into MAS500, Sage, Salesforce, and EDI.

  • Resolve customer complaints, process special orders, and process customer returns.

  • Process customer requests for Certificates of Analysis or Material Safety Data Sheets.

  • Follow up with customers and suppliers concerning order status or other inquiries.

  • Generate Warehouse Pick Lists, and Other Reports.

  • Check orders for accuracy. 

  • Process customer credit card payments.

  • Back up other areas as needed.

Maintain Customer Records & Files:

  • Maintain both electronic and paper customer records according to established procedures.

  • Receive, file and maintain MSDS, Certificate of Analysis files for products, and other documents as required.

Education

High school diploma or equivalent required 

Skills and Qualifications

  • Must be able to read, write, and fluently speak/interpret between Spanish and English.

  • At least one year of experience working in industrial customer support. 

  • Commitment to quality, accuracy, and service. 

  • Basic computer skills and demonstrated experience with Microsoft Office software and email applications. 

  • Working knowledge of Tosoh Bioscience, Inc. products.

  • Working knowledge of life science, medical, and pharmacy related products.  

  • Ability to interact in a highly professional and effective manner with customers and coworkers from all areas of Tosoh Bioscience, Inc. 

  • Highly effective problem solving, communication, organizational, and time management skills.

Physical Requirements

The Customer Operations Specialist is constantly performing desk-based computer tasks including frequent typing. While performing the duties of this job, the employee is regularly required to verbally communicate with customers over the phone. Occasionally, the Customer Operations Specialist will need to walk to the Tosoh Bioscience, Inc warehouse to check order accuracy.
