Today Tanglewood annually draws over 350,000 visitors. Each season offers not only a vast quantity of music, but also a vast range of musical forms and styles, all of it presented with a regard for artistic excellence that makes the festival unique.
About the Role
The seasonal TLI Production Assistant supports the Artistic Administrator, TLI & Humanities with daily administrative and production tasks. This role serves as a key liaison between artists, backstage staff, Tanglewood Guides, TMC Fellows, and the front-of-house team (including Box Office personnel, patrons, and donors) in coordination with the Artistic Administrator, TLI & Humanities for TLI-produced events at Tanglewood. This is a part-time, hourly position with a variable schedule, including daytime, evening, and weekend hours.
Job Responsibilities
  • Assist with day-to-day office tasks, including ticket requests, mail sorting, and ordering office supplies.
  • Provide general clerical support to the TLI staff as needed.
  • Draft correspondence for outreach to artists, guests, and collaborators.
  • Prepare and disseminate artist itineraries.
  • Submit TLI invoices to Finance for processing and payment; track submissions to ensure timeliness. Coordinate the collection of W-9s and BSO ACH Payment Forms and submit via Workday to establish new vendors.
  • Greet artists and support their needs during rehearsals and performances; coordinate with stage crew, front-of-house staff, and Guides.
  • Ensure programs are available for patrons; distribute copies backstage to performers and crew.
  • Support house opening and maintain clear communication among front-of-house staff, stage crew, and artists.
  • Greet guests and donors as appropriate.
  • Assist with artist and guest complimentary ticket needs; coordinate distribution with Box Office, Guides, and artists.
  • Make announcements related to public safety or program changes, as needed.
  • Coordinate with front-of-house, stage crew, and artists to ensure performances begin and proceed on schedule; make backstage calls as needed.
  • Manage intermission timing and patron flow in coordination with ushers, stage crew, and Guides.
  • Assist Guides with backstage access control; support donor meet-and-greets as needed.
  • Address issues and resolve disputes calmly and professionally; serve as a visible representative of TLI and the BSO when required.
  • Release Guides following completion of duties.
  • Complete required documentation (e.g., incident reports, concert reports) in a timely manner.

Required Education and Experience
Qualifications

  • Professional demeanor and customer service experience preferred.
  • Interest in performing arts or arts administration preferred.
  • Availability for evenings and weekends during the Tanglewood season.

Pay Rate: $20 - 22 per hour
