Position Summary:
The Accounts Payable Clerk is responsible for the timely and accurate processing of vendor invoices and payments while ensuring compliance with company policies and accounting controls. This role plays a critical part in supporting a rapidly growing retail organization by managing high transaction volumes, maintaining strong vendor relationships, and collaborating closely with operations, procurement, accounting, and finance teams.
The ideal candidate will possess strong Accounts Payable background, exceptional attention to detail, and experience managing large invoice volumes in a retail, multi-site, or high-growth environment.
Responsibilities:
  • Process high volumes of vendor invoices accurately and efficiently while ensuring proper coding, approval routing, and timely payment.
  • Review invoices for accuracy, completeness, and compliance with company policies and procedures.
  • Assign appropriate general ledger accounts, cost centers, and business units to invoices.
  • Reconcile vendor statements and investigate discrepancies to ensure accounts remain current and accurate.
  • Research and resolve invoice exceptions, payment disputes, duplicate payments, and vendor inquiries.
  • Maintain positive working relationships with vendors and internal stakeholders to support efficient issue resolution.
  • Monitor AP aging and proactively address outstanding balances and unresolved items.
  • Ensure compliance with internal controls, audit requirements, and company financial policies.
  • Maintain accurate electronic records of invoices, payments, reports, and supporting documentation within SharePoint and other designated systems.
  • Assist with year-end audit requests and 1099 preparation activities as required.
  • Identify opportunities to improve AP processes, increase efficiency, and support automation initiatives.
  • Collaborate with cross-functional teams to ensure smooth integration of newly acquired locations and vendors.

Education and Experience:
Required
  • High school diploma or GED.
  • Minimum 3+ years of Accounts Payable experience.
  • Demonstrated experience processing high volumes of invoices in a fast-paced environment.
  • Strong understanding of accounts payable principles, invoice processing, and vendor reconciliation.
  • Proficiency in Microsoft Excel, including VLOOKUPs, Pivot Tables, and basic data analysis.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines under pressure.

Preferred
  • Associate's or Bachelor's degree in accounting, Finance, or related field.
  • Experience in retail, convenience store, fuel, or multi-location environments.
  • Experience supporting rapid-growth organizations or merger/acquisition integrations.
  • Experience with PDI Enterprise software.
  • Experience with SharePoint document management and records retention practices.
  • Experience with ACH payments, check processing, and electronic payment systems.
