Time & Attendance Systems Specialist

Summary:

The Specialist Time and Attendance System is responsible for the accurate administration of employee timekeeping records and the configuration, maintenance, and support of the UKG Workforce Management (WFM) system. Ensures all timekeeping processes comply with company policies and federal, state, and local labor laws. Responsible for configuring and maintaining WFM functionality, including Advanced Scheduler, shift scheduling by operational zones, pay rules, work rules, pay codes, accruals, and labor levels to optimize workforce planning and labor allocation. Administers and configures UKG timeclock devices, including clock profiles and device settings, performs system testing for enhancements and upgrades, and partners with HR, Payroll, Operations, and IT to support business objectives and deliver reliable workforce management solutions.

Your Role on the Team:

  • Configure and maintain WFM system parameters, including shift templates, labor rules, and pay codes, timeclock devices, including clock profiles and device troubleshooting.
  • Design and implement shift scheduling by operational zone, ensuring workforce coverage matches business needs.
  • Collaborate with operations and HR to define zone requirements and translate them into system configurations.
  • Test, document, and deploy WFM enhancements and new features related to shift and zone management.
  • Generate reports related to attendance, shift coverage, overtime, and compliance.
  • Analyze workforce data to identify trends, inefficiencies, and opportunities for process improvements.
  • Train managers and team members on timekeeping and WFM functionalities, including shift-by zone scheduling.
  • Develop user guides and standard operating procedures (SOPs) related to timekeeping and WFM use.
  • Ensure compliance with federal, state, and local labor laws, collective bargaining agreements (where applicable), and company policies.
  • Stay current on WFM technology, vendor releases, industry best practices, and emerging workforce management trends.
  • Provide support to employees and managers regarding timekeeping questions and system issues.
  • Partner with Payroll to ensure accurate time collection files, pay code configuration, exception management, for payroll processing.
  • Maintain system security by configuring user roles, permissions, functional access, and organizational hierarchies in accordance with company policies.

What you need:

  • 3-5 years of experience administering and supporting Workforce Management (WFM) systems, preferably UKG Workforce Management (Dimensions or Workforce Central).
  • Hands-on experience configuring and supporting timekeeping functionality, including, Advance Scheduler, pay rules, work rules, pay codes, accruals, schedules, labor levels, attendance policies, and timeclock configurations.
  • Experience testing system enhancements, upgrades, patches, integrations, and new functionality, including developing and executing test scripts and User Acceptance Testing (UAT).
  • Experience troubleshooting timekeeping issues, performing root cause analysis, and resolving system configuration and employee timecard discrepancies.
  • Working knowledge of payroll processes and the integration between WFM, HRIS, and Payroll systems.
  • Knowledge of federal, state, and local wage and hour regulations, including overtime, meal and rest break requirements, and timekeeping compliance.
  • Proficient in Microsoft Office Suite, particularly Excel, with experience creating reports and analyzing workforce data
  • Associate’s or Bachelor’s degree in Business, HR, IT, or related field preferred (or equivalent experience).
  • Experience with timekeeping and WFM systems (e.g., Kronos, ADP, UKG, Workday, or similar).
  • Experience with system configuration and/or programming (WFM or HRIS platforms).
  • Strong analytical, problem-solving, and organizational skills.
  • Ability to communicate technical concepts to non-technical users
  • Familiarity with labor regulations and scheduling best practices.
  • Prior experience implementing or maintaining shift by zone or similar labor management features.
  • Experience administering UKG Workforce Management (WFM), including configuration and support of Timekeeping, Attendance, Scheduling, and Accruals.
  • Hands-on experience with UKG Advanced Scheduler, including shift templates, scheduling zones, labor demand, shift swaps, open shifts, employee availability, and schedule optimization.
