Position Summary

The Tile Project Assistant is responsible for supporting the daily operations of tile projects from contract processing through material coordination and installation support. This role works closely with sales staff, customers, purchasing, installers, subcontractors, and vendors to ensure projects are organized, accurately documented, and completed on schedule. The ideal candidate is detail-oriented, organized, and knowledgeable in tile products, measurements, and project coordination processes.

Essential Duties and Responsibilities
  • Print, organize, and maintain all tile-related contracts and project files 
  • Schedule appointments with customers and sales staff for field measurements 
  • Collect and submit measurements and actuals to Sales for project breakdowns and estimating 
  • Prepare and submit PRFs to Purchasing for purchase order creation 
  • Maintain and update tile tracking spreadsheets, schedules, and project records 
  • Coordinate and assist with material deliveries to installers and subcontractors 
  • Contact vendors and suppliers to verify material availability, lead times, and order status prior to purchasing 
  • Assist with receiving, checking in, and performing quality control on tile materials and related products 
  • Communicate with team members regarding project updates, scheduling, and material needs 
  • Provide administrative and operational support to ensure projects are completed efficiently and on time 
  • Assist with additional project coordination and office duties as needed 

Requirements

Qualifications
  • Previous experience in tile, flooring, construction, or project coordination preferred 
  • Knowledge of tile products, layouts, and installation processes preferred 
  • Ability to measure and calculate square footage accurately 
  • Strong organizational skills and attention to detail 
  • Ability to manage multiple projects and deadlines simultaneously 
  • Strong communication and customer service skills 
  • Proficiency with Microsoft Office programs, including Excel and Outlook 
  • Experience with Buildertrend or similar project management software is favorable 
  • Ability to work independently and as part of a team 
Physical Requirements
  • Ability to sit, stand, walk, and lift materials or boxes as needed 
  • Ability to occasionally lift up to 70 pounds 
  • Ability to travel locally for measurements or job site support if required
